We are looking for a Professional Office Manager to perform a variety of administrative tasks and support our company’s Executive Director. Responsibilities include managing donor databases, Helping with planning fundraising events, Acknowledging donations, Communicating the organization's mission and programs, Tracking fundraising progress, assisting donors with questions about switching donation platforms, managing calendars, preparing expense reports, making phone calls, tracking supplies and other inventory, doing deposits and other financial responsibilities and other tasks given by the Director. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Self starts and the ability to complete task without supervision is a must. We are an animal rescue and this is very casual dress job as you must have a love of animals and want to work towards protecting them and have a purpose with your job. There is some flexibility in start and stop times. Responsibilities Act as the point of contact among executives, employees, clients and other external partners Manage information flow in a timely and accurate manner Manage calendars and set up meetings Make travel and accommodation arrangements Track daily expenses and prepare weekly, monthly or quarterly reports Act as an office manager by keeping up with office supply inventory, liason with the accountant and other departments. Assisting with onboarding employees. Format information for internal and external communication – memos, emails, presentations, reports Take minutes during meetings Screen and direct phone calls and distribute correspondence Organize and maintain the office filing system Skills Work experience as an Executive Assistant, office manager, business owner or similar role Excellent MS Office knowledge Outstanding organizational and time management skills Familiarity with office gadgets and applications (e.g. e-calendars and copy machines) Excellent verbal and written communications skills Discretion and confidentiality - You will be required to sign a confidentiality agreement.
