Responsibilities • Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism • Answer multi-line phone systems promptly and courteously, directing calls or taking messages as needed • Maintain accurate records through data entry, filing, and document proofreading to ensure organizational integrity • Coordinate calendar management and schedule appointments for team members and executives • Handle correspondence via email, mail, and other communication channels with clarity and attention to detail • Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking • Provide exceptional customer support by addressing inquiries efficiently and maintaining positive relationships • Assist with office management duties such as ordering supplies, organizing files, and maintaining office equipment Requirements • Proven office experience with strong clerical skills and familiarity with office management procedures • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently • Strong computer literacy including data entry, typing speed, and familiarity with office software tools • Experience handling multi-line phone systems and practicing professional phone etiquette • Bilingual abilities are highly desirable to serve diverse client needs effectively • Previous experience as a dental or medical receptionist or personal assistant is a plus but not required • Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous Join us in a role where your organizational talents shine!
