Job Type Full-time Description Work from Home (WFH) - Remote work must be performed while residing in California CIAT Campus Locations: San Diego, CA and Albuquerque, NM Reports to: Director of Career Services Status: Exempt Employment Type: Full-time Job Summary The Career Advisors Manager oversees the day-to-day operations, quality of service delivery, and performance of the Career Services Advisor team. This role ensures consistent, high-quality advising practices; accurate career services data and documentation; strong student engagement; and compliance with ACCET graduation and placement requirements. Success in this role requires a strong understanding of career technical education (CTE) pathways and the unique strengths and challenges of non-traditional student populations, including early-career students, adult learners, career changers, veterans, transitioning service members, online learners, and first-generation or underserved populations. This expertise ensures the development of advising strategies that support equitable access to career pathways and successful employment outcomes. In addition to supervising staff, the Manager supports escalated student cases, contributes to program innovation, strengthens interdepartmental communication, and collaborates with Industry Partnerships to ensure advising practices remain aligned with employer needs, emerging workforce trends, and industry standards. Responsibilities Team Leadership & Supervision • Provide direct supervision, coaching, and performance management for Career Services Advisors, ensuring consistency, accountability, and adherence to departmental expectations • Conduct regular 1:1s focused on caseload management, advising quality, documentation accuracy, and professional development • Monitor team productivity standards, including advising volume, placement documentation, student follow-ups, communication cadence, and timely completion of records • Build and maintain a motivated, professional team by recruiting, selecting, onboarding, coaching, and training employees • Facilitate ongoing professional development for Advisors related to career advising techniques, labor market insights, resume and interview coaching strategies, system documentation, and ACCET placement requirements • Establish a positive, collaborative, high-performing team culture grounded in service excellence, accountability, and continuous improvement • Support employees through organizational change by communicating clearly, addressing concerns, and modeling adaptability • Partner with HR to coach and counsel employees as needed • Conduct timely, accurate, and fair performance reviews, free from bias • Ensure a safe, secure, and ethical work environment • Manage and enforce timekeeping policies to ensure accuracy and timely processing of employee timecards Advising Quality, Student Support & Escalation Management • Oversee the delivery of high-quality one-on-one and group advising, ensuring Advisors provide comprehensive career exploration guidance, professional development support, and job search preparation • Serve as the escalation point for complex, sensitive, or high-needs student and alumni cases, modeling advanced advising practices and sound decision-making • Ensure Advisors consistently apply established processes for resume refinement, LinkedIn optimization, interview preparation, placement readiness, and strategic job search planning • Monitor student engagement and advising participation trends; collaborate with Advisors to increase student attendance at advising sessions, workshops, and employer events • Implement quality assurance standards that reinforce consistency in service delivery, advising accuracy, and high levels of student satisfaction Data Integrity, Reporting & Accreditation Compliance • Ensure accurate, timely, and complete documentation of advising sessions, job placements, graduation outcomes, and employer engagement notes within Dynamics or related systems • Conduct regular internal audits of caseloads, advising notes, and placement documentation to verify alignment with institutional requirements, ACCET standards, and compliance expectations • Oversee verification of graduate and placement records, ensuring the department consistently meets accreditation and reporting guidelines • Work with the Director of Career Services on reporting cycles, audits, invoicing requirements, workforce funding programs, and outcomes-based documentation • Utilize data insights to drive improvements in advising effectiveness, student engagement, and placement outcomes Program & Process Development • Collaborate with Industry Partnerships team, Academics, and departmental leadership to design, enhance, and implement programs, workshops, and events that support student employability and career readiness • Lead or co-lead key departmental initiatives, such as improving job placement outcomes, strengthening advising resources, optimizing auto-communication workflows, or enhancing on-demand student resource offerings • Identify opportunities to streamline advising workflows, improve student engagement strategies, or strengthen Dynamics/CRM utilization; oversee implementation of process improvements • Evaluate the effectiveness of programs, resources, and events to ensure alignment with workforce demands, student needs, and institutional goals Interdepartmental Collaboration • Maintain strong, solution-oriented partnerships with Academics, Student Services, Admissions, Workforce Partnerships, and other key departments to support seamless student progression and readiness • Provide guidance to internal stakeholders regarding student preparedness, career pathways, employer expectations, and technical competencies relevant to job placement • Support cross-functional initiatives related to curriculum alignment, bootcamp readiness, retention efforts, academic transitions, and workforce program integration • Represent the Career Services department in meetings, workgroups, and committees, ensuring proactive communication and collaborative problem solving • Collaborate with leadership to establish strategic goals by gathering and analyzing business, financial, service, and operational information • Lead team efforts and foster collaboration across departments Leadership, Culture & Professional Development • Model CIAT values, professionalism, accountability, empathy, and student-centered service in all interactions and leadership practices • Promote a departmental culture that reflects a practices, industry expectations, and student success strategies • Ensure team compliance with all Federal, State, accreditation, and institutional requirements, including workplace policies and standards • Adhere to CIAT’s compliance requirements to ensure all Federal, State, accreditation, and institutional policies and procedures are being met • Follow communication guidelines to ensure high levels of customer satisfaction and professionalism • Embody CIAT’s mission, vision, purpose and values Requirements • Bachelor’s degree preferred or a combination of education and related professional experience that demonstrates the ability to perform the role effectively • 4+ years of experience in career advising, job placement, workforce development, higher education, recruiting, or related fields • Documented experience achieving or supporting job placement outcomes, including developing job search strategies, employer connections, and student readiness practices that lead to successful employment results • Experience supporting audit, accreditation, or compliance reporting, including verification of student records, graduation/placement documentation, and preparation of data for internal or external review • Experience working with career technical education (CTE) pathways and non-traditional student populations, including adult learners, career changers, veterans, first-generation students, and underserved communities • Prior leadership, mentorship, coaching, or supervisory experience strongly preferred, with demonstrated ability to support advisor performance, growth, and accountability • Demonstrated experience in student advising, professional development coaching, or program development that supports career readiness and successful workforce outcomes • Advanced understanding of career development theories, labor market trends, job search strategies, and employer expectations, with the ability to translate these into effective advising practices • High proficiency with Career Services and CRM platforms (e.g., Dynamics, Handshake), job boards, reporting systems, and data-tracking tools • Excellent communication, team leadership, coaching, and conflict-resolution skills, with the ability to motivate and guide diverse staff and student populations • Strong organizational and project management skills with the ability to manage multiple priorities, deadlines, and high-volume operational workflows in a fast-paced environment • Ability to analyze data, identify trends, and implement strategic interventions to improve student engagement and job placement performance • Ability to maintain confidentiality, exercise sound judgment, and handle sensitive information with professionalism and discretion • Demonstrated commitment to Occasional weekend and evening hours may be required. Some travel is required for employer site visits, events, conferences, and regional partnership development.
