JOB DESCRIPTION Job Title: Program Services Lead, Philanthropic Projects Location: Ontario, Canada Reports to: Senior Director, Program Services Who We Are: CAF Canada, a Canadian registered charity, supports domestic and international charitable projects. Summary: The position of Program Lead is responsible for managing a portfolio of charitable projects being carried out by charitable partners around the globe. In addition to providing excellent customer service and being a strong project manager, the incumbent is responsible for maintaining knowledge in Canadian charitable regulations, including working through an intermediary, international grantmaking, and donor-advised fund regulations, as well as CAF Canada protocol. This position coordinates and assists with the process of vetting and onboarding charitable partners, as well as liaising and stewardship of donors and assisting with various charitable project implementation and monitoring tasks. This position is located in Canada; the Greater Toronto area is preferred. Candidates currently not located within Canada will not be considered. Duties and Responsibilities: Program Administration • Work with charitable organizations to provide guidance for the application process, development of Project Agreements and monitoring of funded projects. Draft and review Project Agreements (PA) in conjunction with CAF Canada policies and procedures and CRA regulations. Track project agreements and reporting to support relationship management with charitable partners. • Maintain shared filing, databases, and grants management systems that assist with tracking charity vetting and project agreements. Coordinate with Associate to ensure Project Reports are generated and distributed in advance of deadlines and tracking /following up for submission • Responsible for reviewing the submitted project reports to verify charitable partners’ compliance with agreements (budget, deliverables, milestones) and regulations. • Responsible for the timely recommendation of disbursements of funding in support of projects in line with reporting, payment schedules, and regulatory requirements. Escalate issues as appropriate. • Maintains knowledge and understanding of Canada Revenue Agency (CRA) regulations and guidance, as they pertain to CAF Canada’s charitable objects, registered Canadian charities and international project funding • Assists with creating reports and presentations as needed (i.e. Board and All Team Presentations. • Various data management responsibilities including online shared file system, and CRM updates Assists Sr. Director with projects as needed and provides back-up support across the CAF Canada team as needed. • Monitor online listing of eligible Friends Funds projects, coordinating with Associate to update eligible Friends Funds and projects as appropriate, and monitoring funds donated in line with approved project budgets. • Providing a high level of service delivery and maintaining ongoing communication with charity clients across portfolios as well as fund holders Qualifications: • Must be eligible to work legally in Canada • A minimum of 3 - 5 years of progressive professional experience in the non-profit / NGO sector, ideally in a grantmaking organization/role with a charitable foundation or government funding agency. • Knowledge and understanding of CRA regulations governing Canadian charities • Knowledge of donor-advised funds regulations and practices in the Canadian regulatory context • Strong project manager, with proven track record of managing numerous files/ projects on an ongoing basis with the ability to prioritize tasks in a fast-paced environment • Excellent customer service and client stewardship skills • Excellent written and oral communications skills; ability to adjust communications according to the audience. • Ability to work and prioritize in a fast-paced and rapidly changing environment. • Superior attention to detail and ability to accurately navigate large and detailed databases. • Strong interpersonal and organizational skills; as well as superior attention to detail and ability to accurately navigate large and detailed databases • Ability to present and interact in a professional manner • Proactive thinking and excellent problem-solving skills Computer/Software Experience: • Google Suite • Salesforce or other CRM • MS Teams • MS Office
