A rapidly growing, founder-led professional services firm is seeking a highly skilled Executive Assistant to support its Founding Partner. This role is essential in creating structure, improving communication flow, and ensuring the Principal can focus on high-value legal and client-facing responsibilities. The ideal candidate is proactive, tech-savvy, extremely organized, and comfortable working with a busy, fast-moving leader who juggles an expanding practice and a young family. This is an excellent opportunity for someone who thrives in a dynamic environment, communicates with confidence, and brings both empathy and resilience to their work. The position is full-time remote, with occasional office visits in Danville, CA. About the Job: Executive Support & Calendar Management • Manage a complex schedule involving client meetings, court commitments, internal priorities, and family responsibilities. • Protect the Principal’s time by organizing calendars strategically, building in reasonable buffers and breaks, and anticipating scheduling conflicts. • Oversee email management — filtering, prioritizing, drafting responses, and flagging urgent matters. • Maintain secure systems for passwords, confidential information, and sensitive scheduling needs. Communication, Correspondence & Marketing Support • Draft, edit, and manage professional communications with clients, vendors, referral partners, and internal staff. • Support light marketing tasks, including newsletters, email campaigns, and client outreach using platforms such as Mailchimp, G Suite, and social media tools. • Assist with planning and coordinating networking events, client appreciation activities, and community engagement opportunities. • Uphold strict professionalism and confidentiality in all written and verbal communication. Travel, Logistics & Personal Coordination • Coordinate travel arrangements, local logistics, and offsite meeting needs. • Assist with personal scheduling related to childcare, family commitments, and school activities to ensure balance between professional and personal obligations. • Run occasional personal errands as needed with discretion and judgment. Project Coordination & Operational Support • Track ongoing business initiatives, deadlines, and follow-up items across the firm. • Create weekly and monthly reports using Excel or Google Sheets to monitor key business metrics. • Manage documents, filing systems, office supplies, and vendor relationships. • Support smooth day-to-day operations as the firm scales. Event Planning & Firm Culture Support • Plan internal meetings, team gatherings, and client-facing events. • Assist with firmwide initiatives that support culture, morale, and client experience. About You: • Bachelor’s degree preferred, or equivalent professional experience. • Minimum of 5+ years supporting senior leaders, preferably in a professional services or fast-paced environment. • Exceptionally organized with the ability to manage multiple priorities and anticipate needs before they arise. • Confident and steady with the ability to work with a busy leader who moves quickly and appreciates clear, direct communication. • Tech-savvy: proficient with G Suite, Mailchimp, Outlook, and modern productivity tools. • Strong communication skills, both written and verbal, with the ability to represent the Principal professionally. • Resourceful, proactive, and able to bring steadiness and structure to a high-demand role. • Willingness to handle occasional personal tasks to keep the Principal’s life running smoothly. • Experience in a legal environment or familiarity with family law is a plus, but not required. • Positive energy, strong boundaries, and comfort working in a growing, entrepreneurial environment.
