The Executive Assistant will support the Owner by managing communications, scheduling, and task prioritization. This role involves applying the Getting Things Done methodology to streamline workflows and ensure the Owner's time is focused on high-impact activities.
A bachelor's degree and experience as a high-level Executive Assistant or similar role are required. Candidates should possess strong project management skills, handle sensitive information with discretion, and demonstrate effective communication and collaboration abilities.
ROLE AND RESPONSIBILITIES The Executive Assistant will directly support the Owner of the company. This role will function as the Owner’s primary organizational partner — structuring, filtering, and executing tasks to ensure clarity, alignment, and momentum. This role demands exceptional organizational skills, discretion, and a strategic mindset. The ideal candidate will be well-versed in the Getting Things Done (GTD) methodology and able to apply its principles to streamline workflows, manage priorities, and ensure the Owner’s time is maximized for high-impact activities. Position is remote but will be required to travel to Tyler, TX once a quarter. RESPONSIBILITIES * Serves as the primary point of contact and gatekeeper for the Owner, managing communications, scheduling, and task prioritization. * Applies Getting Things Done (GTD) methodology to process, organize, and prioritize tasks/projects. * Captures all inputs (emails, notes, conversations, documents) from the Owner. * Maintains a trusted system for commitments, deadlines, and follow-through. * Serves as the central hub for scheduling, communications, and task management. * Drafts and structures communications on behalf of the Owner as needed. * Monitors progress on delegated tasks and projects, ensuring deadlines are met and priorities are clear. * Tracks organizational initiatives, ensuring owner is accountable and deadlines met. * Provides weekly “state of play” updates across leadership priorities. * Coordinates with Ops, Sales, HR, and Accounting leaders to align workstreams. * Prepares concise, structured briefs to aid the Owner in decision-making. * Anticipates needs and proactively solve problems before escalation. * Acts as the Owner’s filter — helping prioritize what requires direct attention vs. delegation. * Other duties as assigned. QUALIFICATIONS AND COMPETENCIES * Bachelor’s degree required. * Experience as a high-level Executive Assistant, Chief of Staff or similar role. * Strong project management and systems-thinking abilities. * Handle sensitive information with discretion and professionalism. * Effective communication, collaboration, and negotiation skills. * High integrity, discretion, and emotional intelligence. * Ability to work under pressure and adapt quickly in a dynamic environment. * Exudes integrity, trustworthiness, courage, and optimism in taking on challenges and ambiguity. * Detail-oriented. Work/Environment and Physical Requirements (with or without an accommodation) * Office environment, using computer, telephone, other office equipment as needed to perform duties, frequent interruptions throughout day likely. * Essential: continuous sitting, wrist turning, grasping, pinching, and finger manipulation, frequent turning and twisting, and occasional reaching. * Occasionally required to lift or carry up to 20 lbs. push/pull occasionally required for up to 10 lbs. * Hearing and vision (both correctable) are essential.
