Job Overview We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will possess strong computer skills, excellent communication abilities, and a professional demeanor to manage various clerical and customer service tasks. Responsibilities • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy • Perform data entry, filing, and document proofreading to maintain accurate records • Utilize Microsoft Office Suite, Google Workspace, and other office management tools for daily tasks • Schedule appointments, manage calendars, and coordinate meetings using calendar management software • Provide exceptional customer support through phone etiquette and personalized assistance • Handle billing, bookkeeping, and QuickBooks entries to support financial record-keeping • Assist with office management duties such as organizing supplies, maintaining cleanliness, and supporting administrative projects • Support medical or dental reception duties as needed, including patient check-in and appointment scheduling Skills • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications • Strong organizational skills with the ability to multitask effectively • Excellent written and verbal communication skills; bilingual abilities are a plus • Experience with office management systems, data entry, filing, and proofreading • Familiarity with QuickBooks, bookkeeping, and basic accounting practices • Customer service experience with professional phone etiquette and support skills • Ability to handle multi-line phone systems efficiently and courteously • Strong time management skills to prioritize tasks effectively • Previous clerical or administrative experience preferred; personal assistant or medical receptionist experience is advantageous • Demonstrated computer literacy with the ability to adapt to new software tools quickly Pay: $17.00 - $22.00 per hour Expected hours: 40.0 per week Benefits: • Paid time off Work Location: In person
