Commercial Property Manager Location: Laguna Hills, CA | Full-Time | Commercial Real Estate About Us Buck-Shepard Associates, Inc. is a long-standing commercial real estate company managing multi-tenant industrial and office properties throughout central and south Orange County. We are hiring a Commercial Property Manager to oversee a defined portfolio and handle day-to-day operations, tenant communications, maintenance coordination, financial review, and reporting. Responsibilities Property Operations • Oversee daily operations for assigned industrial and office buildings • Conduct regular site inspections and follow up on all maintenance or safety issues • Coordinate maintenance, repairs, and service requests with vendors and contractors • Review, approve, and track vendor work orders and invoices • Monitor building systems, site conditions, landscaping, janitorial, parking, and safety compliance • Manage capital improvement and tenant improvement projects with ownership approval • Ensure all maintenance and repairs are completed correctly and on schedule Tenant Relations • Act as the primary contact for tenants regarding maintenance, concerns, and general inquiries • Handle tenant requests professionally and resolve issues promptly • Maintain strong working relationships with tenants to support retention and property stability • Oversee tenant move-ins and move-outs, including walkthroughs and documentation Vendor & Contractor Oversight • Source, schedule, and supervise vendors, contractors, and service partners • Ensure all work meets contract expectations, building standards, and safety requirements • Maintain vendor files, certificates of insurance, contracts, and compliance documents Financial & Administrative Management • Assist with annual budgets, CAM reconciliations, and operating expense reviews • Monitor AR/AP related to the assigned portfolio • Review and code invoices for accuracy before approval • Track insurance compliance for tenants and vendors • Maintain organized and accurate property files, lease documents, and tenant records • Prepare and deliver monthly reporting and operational updates to ownership • Support ownership and broker with lease abstracts and lease-related tasks Project Coordination • Coordinate tenant improvement (TI) work, building repairs, and capital projects • Manage timelines, contractor communication, and approval processes • Document progress and provide updates to ownership Communication & Reporting • Provide monthly summaries of property status, maintenance updates, and portfolio activity • Communicate regularly with ownership and internal accounting staff • Attend internal meetings as needed to review property needs and priorities Requirements • 4+ years commercial property management experience (industrial/office preferred – Residential experience is not a match for this position) • Strong understanding of commercial property operations and vendor coordination • Excellent written, verbal, and interpersonal communication skills • Ability to manage multiple properties, tasks, and deadlines simultaneously • Adept at anticipating problems and issues, determining possible solutions and implementing a plan of action. • High attention to detail and strong follow-through • Proficient in Microsoft Excel, Word, and Outlook • Experience with AppFolio, Yardi, MRI, Kardin, or similar software preferred • Valid driver’s license and reliable vehicle for site visits • Background check • Bachelor’s degree preferred; high school diploma required Schedule • Monday–Friday • Occasional after-hours response for property emergencies Work Environment • Office located in Laguna Hills • Regular property visits throughout central and south Orange County • Mix of office work, field inspections, and tenant/vendor interaction Benefits • 401k • PTO/ Vacation • Mileage reimbursement • Programs to continuously develop and recognize employees Job Type: Full-time Pay: $75,000.00 - $85,000.00 per year Education: • High school or equivalent (Required) Experience: • Property Manager (Commercial only): 4 years (Required) License/Certification: • Driver's License (Required) Work Location: In person
