Job Overview We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. The ideal candidate will play a pivotal role in ensuring the smooth operation of our office by managing various administrative tasks and supporting our staff. This position requires excellent communication skills, proficiency in office software, and the ability to manage multiple priorities effectively. A background in clerical work or as a dental receptionist is preferred, along with the ability to communicate in Spanish. Duties • Provide comprehensive administrative support to ensure efficient office operations. • Manage calendars, schedule appointments, and coordinate meetings for staff members. • Handle incoming phone calls and direct them appropriately while maintaining a professional demeanor. • Maintain organized filing systems for documents and records, ensuring easy retrieval of information. • Proofread documents for accuracy and clarity before distribution. • Assist with clerical tasks such as data entry, correspondence preparation, and report generation. • Utilize office software to create presentations, spreadsheets, and other documents as needed. • Act as a personal assistant to senior management by managing tasks and priorities effectively. • Support the team in various projects and initiatives as required. Experience • Proven experience in an administrative role or similar position is preferred. • Proficiency in office software applications (e.g., Microsoft Office Suite). • Strong organizational skills with an emphasis on attention to detail. • Excellent verbal and written communication skills; bilingual in Spanish is a plus. • Familiarity with phone systems and basic office equipment operation. • Experience in clerical duties such as filing, proofreading, and calendar management is advantageous. • Ability to work independently while also being a collaborative team player.
