This role requires a proactive, organized, and detail-oriented professional who can manage multiple priorities, coordinate logistics, and serve as a liaison within the office and with external stakeholders. Duties and Responsibilities: Coordinate day-to-day office operations, including conflict resolution, task prioritization, and responding to written communications. Design and maintain communication systems among staff to ensure efficient information flow for projects and program activities. Maintain and utilize administrative databases and records. Answer phones and provide accurate information about division/office activities; refer callers to appropriate staff. Manage staff calendars, prioritize appointments, and schedule, reschedule, or decline meetings on behalf of the division. Arrange local, national, and international travel; prepare and submit travel vouchers and documentation. Organize special projects, such as staff retreats, large meetings, or other office events. Serve as a liaison to other offices and staff within NIDDK. Provide information to external clinics regarding staff availability and patient care credentials. Summarize incoming materials, research, or meeting content to assist executive staff. Edit and prepare various documents including travel requests, sponsored travel forms, official memoranda, correspondence, and conflict of interest forms. Perform timekeeping duties and maintain personnel files. Prepare and distribute annual evaluation and bonus nomination forms, ensuring all signatures are obtained. Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc. Work Environment: Work performed in an office environment. Involves frequent contact with staff and customers. Mental/Physical Requirements: Manual dexterity for office machine operation; stooping, bending to handle files and supplies, mobility to complete errands or deliveries. Must be able to remain in stationary position for extended periods of time. Stress can be triggered by multiple demands and deadlines. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent written and verbal communication skills. Highly organized with strong attention to detail and ability to manage multiple tasks simultaneously. Ability to maintain confidentiality and exercise discretion in sensitive matters. Experience coordinating meetings, travel, and special projects. Knowledge of federal office procedures and administrative processes preferred. Desired Qualifications: Experience working in a government or research environment. Familiarity with personnel records management, compliance documentation, and travel/voucher systems. Demonstrated ability to work independently and as part of a team.
