Description Job Overview: Join our Physical Therapy team as a Front Desk Supervisor. You’ll welcome and support patients while leading the front desk team to ensure smooth clinic operations. In this role, you’ll manage check-ins and check-outs, oversee patient scheduling and paperwork within our EMR, handle incoming calls and payments, and guide clerical staff to align workflows with departmental and organizational goals. Department: Front Desk/ PT Reports To: Practice Manager Supervises: Physical Therapy Front Desk Team Schedule/Type: Full-time, non-exempt, onsite; Monday–Friday Wage: $23–$32 per hour, commensurate with experience Bonus Eligibility: No Requirements Primary Job Responsibilities: Communicating and enforcing values, policies, and procedures; assisting with training, coaching, counseling, disciplinary actions, and communication needs; and planning, monitoring, appraising, and reviewing job performance as requested. Supervises front desk employees, including, but not limited to: coordinating schedules and arranging coverage for PTO requests and last-minute sick time. Provides excellent service to all customers (internal and external) with a positive, helpful attitude. Performs receptionist duties in conjunction with supervisory responsibilities, including, but not limited to: greeting and interacting with patients, staff, and visitors in a prompt, professional, and friendly manner; verifying patient demographics; and securing signatures on authorizations and other required forms. Handles incoming and outgoing telephone calls to schedule patient appointments. Uses the EMR system to match provider availability with patients’ scheduling preferences. Collects payments from patients, including researching balances when needed, providing accurate change, documenting receipts, and processing credit card payments. Assists the front desk and billing department with obtaining authorizations and verifying benefits as needed. Effectively communicates with patients and staff to support patient care; answers non-medical questions and provides routine non-medical instructions to ensure continuity of care, including coordinating with other departments regarding orders, insurance, and scheduling. Oversees the ordering, receiving, stocking, and distribution of office supplies for the assigned department. Ensures the reception area is tidy, organized, and clean; opens and closes the office as needed. Adheres to HIPAA policies at all times. Performs other duties as assigned. Requirements: Minimum three to five years of scheduling experience, with one year of experience in a physical therapy setting.
