POSITION PURPOSE The Order Fulfillment Specialist is responsible for the day-to-day processing of warehouse orders and outbound loads for Bona distribution services. This position will work closely with Warehouse Department Heads, Account Services, and Transportation to achieve division objectives while maintaining a focus on customer service and on-time shipping. This individual is highly proficient with Excel and has knowledge of pivot tables and formulas including VLOOKUPs, search functions, and conditional formatting. The Order Fulfillment Specialist will also demonstrate excellent analytical, communication, and organizational skills, high accuracy, and attention to detail and will contribute to a positive team atmosphere. POSITION QUALIFICATIONS AND JOB DUTIES QUALIFICATION AND EDUCATION REQUIREMENTS: • High school diploma and/or equivalent work experience; some college is preferred • 2+ years of experience in Customer Service, Order Entry, or Account Management • Working knowledge of warehouse order flow concepts • Experience with WMS & ERP systems – SoloChain experience is a plus • Highly proficient in Excel with experience with pivot tables, VLOOKUPS, search functions, conditional formatting, etc. • Demonstrates a “hands-on” problem solving approach • Displays effective verbal and written communication and organizational skills, strong analytical skills, and attention to detail • Highly computer literate and able to quickly adapt to various user interfaces JOB DUTIES: • Review special requirements communicated on an order level basis, ensure requirements are applied to all orders upon release, and communicate any changes to appropriate departments within the warehouse. • Review all orders as accurately received into WMS. Prioritize, create loads, and allocate available inventory for processing by warehouse team. • Answer questions regarding order information, shipping issues, and non-technical product information. • Confirm inventory availability, working closely with Supply Chain and Account Services. • Investigate errors to determine root cause and recommend corrective actions. • Analyze non-compliance fines and monthly scorecards to identify trends primarily relating to shipping errors, and work with internal and external teams to implement changes to reduce chargebacks. • Partner with operations on Bona document retention processes and provide requested documents to external departments. • Work with the transportation team on load ready times and scheduling, ensuring the Dock Management System and WMS are in sync for each load. • Provide timely responses to all emails received in both the group email accounts and personal email account. • Assist with and/or lead process improvement projects within the department. • Back-up and support team members during absences and/or heavy volume times. • Attend global training initiatives and maintain sufficient Bona product knowledge. • Develop mutually beneficial, respectful, and effective relationships with peers to ensure seamless coordination between departments, maximize synergy, and maintain a shared vision, strategy, and focus. • Able and willing to work necessary hours to meet all project deadlines, travel when necessary. • Other Duties – Please note, this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. PHYSICAL DEMANDS: • Must be able to remain in a stationary position 25% of the time. • Must be able to bend, climb stairs, and continuously stand or walk 75% of the time. • Must be able to move within the office and plant to reach file cabinets, office machinery, etc. • Must be able to use dexterity to handle small safety equipment and/or hazardous material. • Must be able to lift and carry 15-25 pounds and frequently move equipment weighing up to 40 pounds. • Must be able to communicate effectively by listening and in both written and verbal forms. WORK ENVIRONMENT • Generally, works in an office environment but may occasionally be required to perform job duties outside of the typical office setting. • This position regularly requires large amounts of time to be spent using and viewing computer screens and equipment, which generally entails regular and repetitive motions. • May occasionally be exposed to fumes, airborne particles, or chemicals. All safety procedures should be adhered to in each of these situations.
