Role Summary The Services Project Manager supports the Account Management team in preparing and coordinating the operational details required for trade shows and consumer events. This role is primarily administrative and process-driven, ensuring that all service orders, event documentation, logistics information, and asset details are accurately completed, submitted, and communicated to the correct internal teams. The Services Project Manager follows direction from Account Managers, completing assigned tasks and ensuring that warehouse teams, onsite supervisors, and internal stakeholders have the correct information to execute successful events. Key Responsibilities Event Services Support • Assist Account Managers with completing and submitting Exhibitor Service Kit forms based on provided information (electric, internet, furnishings, material handling, etc.). • Maintain login credentials, deadlines, and order confirmations in the event tracker. • Track booth space documentation, payment status, and required paperwork as directed. Logistics & Administration • Support Account Managers with transportation forms, internal logistics requests, and shipment documentation. • Input shipping details, timing, and service requirements into internal systems. • Keep event folders, trackers, and shared documents organized and up to date. • Maintain internal calendars, deadline reminders, and show service timelines. Asset & Inventory Coordination • Work with the Warehouse Team and On-Site Supervisor by providing accurate pull lists, display handling lists, and asset requirements prepared by the Account Managers. • Update asset checklists, verify counts, and ensure internal teams have needed documentation before items are pulled or shipped. • Assist with tracking asset condition updates after events (damage notes, missing items, repair needs). Internal Team Coordination • Ensure all internal teams are working from the most accurate and current event information. • Distribute updated documents, service orders, or changes as directed by the Account Managers. • Follow up with internal teams on outstanding tasks, order confirmations, or prep steps. Financial & Documentation Support • Assist with gathering service order quotes, invoice files, and budget backup documentation. • Enter budget notes, coding, and updates into worksheets or tracking tools. • Help maintain organized digital folders containing service kits, orders, receipts, and show confirmations. • Other duties as assigned. Skills & Qualifications Required Qualifications • 1–3 years of experience in event coordination, trade show support, project coordination, or administrative roles. • Strong skills in organization, documentation, and deadline management. • Ability to manage large amounts of information and track numerous small details reliably. • Proficiency with Microsoft Office (Excel, Outlook, SharePoint, Teams). • Comfortable working in a fast-paced, deadline-driven environment. Preferred Qualifications • Familiarity with trade shows, exhibitor service kits, or logistics processes. • Experience supporting project managers, account teams, or operational teams. • Understanding of basic budgeting and invoicing workflows.
