We’re seeking a proactive and detail-oriented Creative Project Manager to join our growing creative agency team supporting pharmaceutical and life sciences clients. This hybrid role blends project management, client engagement, and content support, acting as the primary liaison for assigned accounts while coordinating deliverables across internal cross-functional teams to deliver high-quality work. In this role you’ll manage day-to-day client communication, lead project updates, develop and maintain timelines, track workflows, and support resource planning to ensure all workstreams run smoothly. You will help ensure all deliverables meet brand standards, compliance requirements, deadlines, and budget parameters. This key client-facing role requires strong communication skills, exceptional attention to detail, and the ability to translate complex or evolving client feedback into clear, actionable direction for both agency and consulting teams. You will also play a role in deliverable development, offering content and copy support as appropriate, ensuring materials align with client guidelines and QC standards, and assisting with MLR submissions and the management of Veeva review cycles. Primary Responsibilities: Client Communication and Coordination: Serve as the primary agency point of contact for assigned clients, maintaining strong, solutions-oriented relationships Manage daily communication and coordination between clients and internal teams, including updates on project status, timelines, and deliverables Prepare for and support client meetings, including agenda creation, documentation of meeting notes, and clearly defining and communicating follow-up items Ensure timelines are realistic, updated, and communicated Collect and translate client input and feedback on deliverables into clear, actionable tasks for creative, content, and quality control teams – using internal proofing tools where appropriate Coordinate with client vendors (printers, development teams, IT, etc.) when applicable Project and Deliverable Management: Maintain organized project documentation, workflows, and file management to ensure smooth collaboration and audit-ready processes Coordinate cross-functional alignment and track ongoing workstreams across art, copy, consulting/strategy, production, and other agency and cross-functional teams Track workflow progression and ensure deadlines, dependencies, and approvals stay on schedule Ensure accurate version control and organized asset handoff across teams and platforms Monitor budget burn against SOWs and support development of estimates, scopes, and timelines Deliverable and Material Development, Including Quality and Compliance: Support development of internal briefs and ensure teams start with clear requirements, timelines, and context Provide content development and copy support as appropriate, ensuring messaging aligns with brand strategy and MLR requirements Ensure that all deliverables meet client goals, brand strategy, compliance standards, and budget parameters Support quality control by reviewing deliverables for accuracy, completeness, and alignment with client guidelines prior to client review / submission Medical, Legal, and Regulatory (MLR) Review and Veeva Responsibilities: Manage submission workflows in MLR review systems such as Veeva (or similar), including uploads, annotations, referencing, and submission tracking Work with agency teams to formulate articulate responses to review comments, sharing with client and inputting into Veeva system as necessary Attend client MLR meetings as needed and translate reviewer feedback into clear direction for internal teams Coordinate and communicate directly with client-side MLR teams when needed Internal Alignment, Collaboration, and Growth: Collaborate with agency leadership and internal teams to plan resourcing and team capacity Proactively identify risks or bottlenecks and present solutions to keep projects on track Help identify opportunities to grow existing accounts through strategic thinking, upsell opportunities, or proactive support Help refine and evolve agency processes to improve efficiency and consistency across accounts Desired Experience and Skills: Proven ability to manage multiple client relationships and concurrent workstreams with confidence and professionalism Exceptional verbal and written communication skills, a proactive and professional demeanor, with strong relationship management skills including the ability to lead client conversations, document next steps, and translate feedback clearly Strong organizational skills and attention to detail, with experience maintaining documentation, version control, and workflow tracking Ability to interpret and distill complex client, brand, or MLR feedback into clear, actionable direction for internal teams Experience navigating client review processes (including MLR or regulatory) Experience managing timelines, budgets, scopes, and resourcing in a fast-paced environment Familiarity with cross-functional collaboration across creative, copy/content, strategy, production, and quality teams Comfort supporting content and copy development with strong editorial judgement Proactive, solutions-oriented mindset with the ability to anticipate risks and problem-solve under pressure Team-oriented, collaborative approach with the ability to adapt to changing priorities Thrives in a collaborative, fast-paced environment Preferred Qualifications: 3–6 years of experience in project management, client services, account management, or a related role—ideally within a creative agency or pharmaceutical/life sciences setting Experience supporting or managing marketing, medical, or promotional deliverables for pharmaceutical or life sciences clients Working knowledge of MLR processes and systems (e.g., Veeva PromoMats), including submissions, annotations, referencing, workflows, and review cycles Working knowledge of promotional review requirements (e.g., fair balance, ISI, referencing standards) Prior experience attending MLR meetings and coordinating post-review actions such as responses and revisions Experience using and managing project management, proofing, and collaboration tools (e.g., Monday.com, Workfront, Ziflow, or similar) Ability to operate effectively in an entrepreneurial, small-agency, or fast-growing team environment Compensation: Base salary range: $80,000 - $120,000 depending on experience.
