Job Title: Installation and Project Administrator Department: Administration FLSA Status: Non-Exempt Cost Center: US1000002B - Sales Back Office Summary Under the direction of the Installation and Projects Department Manager, the Installation and Project Administrator is responsible for planning, organizing, and supporting both new and used machine projects. This role includes preparing quotes, processing purchase orders, and ensuring projects are delivered on time and according to company standards. The position also manages key administrative and logistical processes, coordinates non-machine deliverables, and supports cross-functional teams to guarantee efficient installations and customer satisfaction. Essential Functions The duties listed below are the specific duties and tasks that someone in this position must accomplish. Plan, coordinate, and track the assignment, shipment, and refurbishment of installation job boxes and special tools. Monitor and coordinate the status of software license keys, installation and water kits, non-machine shipments, and missing factory parts. Schedule and coordinate vendor onsite startups and related documentation (e.g., commissioning of laser resonators, chillers, gas generators, CSA/UL inspections). Maintain updated core parts lists for job boxes, special tools, installation and water kits, and other project deliverables. Actively monitor any Microsoft Teams channels for communications related to assigned projects. Complete any required training on BLM machines and equipment as required by management. Support the development and implementation of BLM's quality system. Prepare purchase orders for external contractors and coordinate with Accounting/Purchasing. Prepare cost reports and ensure they are distributed or shared with the required internal teams and/or team members. Create and share machine overview forms and weekly updates via Microsoft Teams. Manage installation schedules in DocMarchal according to timing project requirements. Handle communication with customers to request installation surveys as needed. Schedule meetings or calls with BLM technicians to fill out quality reports for all installations, as required for our quality process with BLM GROUP Italy. Submit warranty orders and purchase requests for all new and used machine projects based on the provided part numbers and follow up on tracking numbers for both stock and back-ordered parts. Ability to travel up to 10% as required by management. Other duties as assigned by management.
