Company: Bite Toothpaste Bits Location: Remote, US or International (must work Eastern Time Zone) Type: Full-Time (with flexibility for the right candidate) Reports to: Founder & CEO About the Role We are looking for a highly organized and proactive Executive & Personal Assistant (EA 70% PA 30%) to support the CEO of a growing consumer brand. This role combines traditional Executive Assistant duties (calendar, inbox, scheduling, reporting) with Personal Assistant responsibilities (vendor coordination, remote household support, travel planning). The ideal candidate is tech-savvy, detail-oriented, and thrives on keeping both business and personal systems running smoothly. You’ll serve as the digital organization hub, ensuring that communication, schedules, and admin are handled seamlessly. Core Responsibilities Inbox & Calendar • Daily triage of emails (urgent, delegate, archive). • Schedule and confirm meetings with team members and contractors. • Block deep-work time and protect CEO’s mornings. Team Communication • Post daily stand-up prompt in Slack; compile key takeaways and blockers. • Ensure contractors and team submit updates on time. • Prepare weekly Level 10 scorecard in Google Sheet. Vendors • Track and issue payment for various vendors. • Process receipts and invoices. • Track business expenses and reimbursements in shared spreadsheet. Travel & Logistics • Research and book flights/hotels. • Prepare itineraries with confirmations attached to calendar. • Coordinate with in person support for packing lists or errands. Metrics & Reporting • Maintain KPI dashboard with team input. • Prepare a short daily brief for CEO at 8:30 AM ET, including: • Top 3 priorities for the day • Urgent items • Calendar highlights Operations Support • Create SOP checklists for in person support. • Handle online purchases (supplies, household items, office needs). • Organize digital files (Google Drive, Notion, Dropbox). Requirements • At least 3 years experience as an Executive Assistant, Personal Assistant, or hybrid role. • Exceptional organizational and time management skills. • Strong written and verbal communication. • Proficiency with Google Suite, Slack, Asana/Notion, WhatsApp. • Comfortable handling both business and personal admin tasks. • Ability to work independently and maintain discretion with sensitive information. • Must have US-phone number and ability to make calls / texts. Nice-to-Have • Experience coordinating distributed teams across time zones. • Familiarity with EOS/Traction frameworks. • Previous work in startups or CPG/eCommerce. What Success Looks Like • CEO starts every day with a clear plan and inbox under control. • Household and business vendors run smoothly without CEO involvement. • Finance, scheduling, and communication tasks are handled proactively. • The team stays aligned through daily updates and weekly reporting. Compensation: Competitive, based on experience. Starting at $15 per hour, flexible for right candidate. Schedule: Full time, remote, required Eastern Standard Time working hours.
