BioMatrix Specialty Infusion Pharmacy is seeking a Document Management Specialist to support our Intake Department. This position plays a vital role in ensuring the accuracy, timeliness, and organization of patient-related documentation, which directly impacts patient care and operational efficiency. The Document Management Specialist will monitor incoming faxes and electronic documentation, identify document types, ensure proper routing, and accurately maintain records within our electronic health record (CPR+). This position requires strong attention to detail, the ability to work in a fast-paced healthcare environment, and the commitment to providing excellent support to both internal teams and external partners. This is a full-time, on-site role, scheduled Monday-Friday in our Van Nuys, CA office will work from 8:30 a.m. to 5:00 p.m. PST, while those in our Kansas City, MO office, 10:30 a.m. to 7:00 p.m. CST schedule. QUALIFICATION REQUIREMENTS * High school diploma or equivalent * Experience with electronic health/medical record systems. * Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). * Strong organizational skills and attention to detail. QUALIFICATIONS PREFERRED * Prior healthcare, specialty infusion or homecare experience are strongly preferred. * Familiarity with medical terminology. * Bachelor degree or college coursework is preferred. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Document Intake & Management * Continuously monitor and review incoming faxes and electronic documentation in CPR+ and other designated platforms. * Identify document type (referrals, clinical notes, prescriptions, nursing notes, insurance notifications, etc.). * Notify senders of receipt of documents in a timely and professional manner. * Accurately attach documents to patient charts in CPR+ with proper naming conventions. Data Entry & Patient Onboarding * Create new patient profiles in CPR+ upon receipt of referral. * Enter complete and accurate demographic information into patient records. * Assign and track tasks (“To Do” items) in CPR+ to notify relevant internal teams of new documents, updates, or new patient referrals. Team Support & Communication * Work collaboratively with the Intake and Clinical teams to ensure seamless document flow and information sharing. * Escalate discrepancies, missing information, or urgent items to appropriate team members. KNOWLEDEGE, SKILLS AND ABILITIES REQUIREMENTS * Working knowledge of medical terminology. * Ability to work independently while contributing to team objectives. * Strong organizational skills with the ability to manage multiple priorities under deadlines. * Proactive problem-solving and sound judgment. * Effective written and verbal communication skills. * Perform related duties as requested. * Maintain focus on accuracy and timeliness in all documentation processes. PHYSICAL DEMANDS AND WORK ENVIRONMENT * This position requires frequent standing and occasional sitting with occasional walking, kneeling or stooping. * This position requires the use of hands to fingers, handle or feel objects and the ability to reach with hands and arms. * This position requires constant talking and listening * Specific vision abilities required by this job include close vision and the ability to adjust focus. * This position must occasionally lift and/or move up to 25 pounds * Required to move/lift physical hardware.
