Internship Administrative Coordinator- Remote Position Requisition #: req16093 Location: Remote within the U.S. (except in AK, HI, ID, LA, MT, NM, ND, OK, OR, VT, WV, and WY) Salary Range: $ 18.30 - 25.00 Hours: Full-time (40 Hours/Week) At Bethany Christian Services, we believe families provide the strongest foundation for care and connection. As an Internship Administrative Coordinator, you will be primarily responsible for performing the required administrative and clerical tasks for the Internship and College Relations team. This position supports the day-to-day logistics, maintains program documentation, coordinates communication with internal departments and external partners, and ensures a seamless experience for interns. This position is expected to function effectively with regular supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements. ESSENTIAL JOB RESPONSIBILITIES • Manage intern records and ensure compliance with company policies and legal requirements as it relates to Bethany's internship framework; • Post opportunities, assisting with applicant screening, and coordinating interviews with internal teams; • Manage and update all internship forms, templates, and documentation to ensure accurate versions are used across programs; • Initiate and manage necessary background checks based on job and program requirements and Bethany policy; • Analyze results and compare to our internal policies to identify potential concerns, discrepancies, red flags and risk to the organization that may affect a candidate's eligibility for employment; • Prepare orientation materials and coordinate pre-start instructions to ensure interns receive clear expectations and resources; • Monitor the internship email inbox and ensure timely routing of questions or documentation to the correct internal teams; • Coordinate intern offboarding, including collection of final evaluations, exit forms, and ensuring accurate completion of hours or university-required documents; • Provide back-up coverage to the Talent Acquisition and Employee Experiences Team as needed; • Serve as a primary point of contact for intern inquiries and support needs; • Liaise with colleges, universities, and student organizations to support recruitment efforts; • Process all applications from resettlement programs relating to interns; • Update and maintain internship database/tracking; • Responsible for program evaluation of interns monthly and annual reporting; • Coordinate logistics for career fairs, campus visits, and virtual info sessions; • Support the Internship and College Relations Manager in developing promotional materials and presentations; • Compile and analyze internship program metrics for quarterly and annual reporting; QUALIFICATIONS: • High School Diploma or equivalent; • Associate's or bachelor's level degree from an accredited college, preferred; • One (1) to three (3) years of administrative experience; • Experience supporting internship or college relations programs; preferred; • Excellent written, verbal, and interpersonal communication skills; • Must have an ability to provide excellent and compassionate customer service; • Ability to work independently and exercise a high level of confidentiality; • Must be reliable with time sensitive deadlines and tasks; • Must be reliable with time sensitive deadlines and tasks; • Working knowledge of office practices and procedures; • Computer skills sufficient to perform essential functions including knowledge of Microsoft Office Suite; • Must be 21 years old with a valid driver's license with at least 3 years driving experience in the U.S. to operate a vehicle on behalf of Bethany; • Must pass a Motor Vehicle Records (MVR) check and maintain a reliable vehicle with proof of adequate coverage; • Pass a criminal history screen, including state and local child protection agency registries; • Subscription to and integration of the agency Statement of Faith, Mission Statement, and Commitment to Unity.
