Overview of the Manager, Operations and Collections: The Manager, Operations and Collections will provide leadership for the team and organization. They are responsible for oversight and completion of the daily activities within the team in the ICT Team. This person will be: • Accountable for ensuring timely and accurate completion of the department’s tasks (Collections, Proxy Support, Disclosure/NOBO processing) • Interact with clients to assist with queries related to invoices and payments • Coordinate with finance to reconcile payment discrepancies • Manage escalations with department leaders related to invoice challenges. • Support Proxy team for material requests, inventory maintenance tasks • Ensure completion of NPI data based requests of Shareholder Disclosure files and Nobo Files. • Accountable for the department’s SLA performance • Accountable for ensuring all procedures and processes meet global regulatory requirements • Responsible for training, mentoring, and assessing staff performance Duties and Responsibilities of the Manager, Operations and Collections: • Interpret, develop, and implement operational policies and procedures for functions of low to moderate complexity within the designated scope of responsibility. • Exercise sound judgment to allocate resources, set priorities, and resolve operational issues to ensure the team meets business objectives. • Provide mentorship and professional development to direct reports; actively participate in recruiting and onboarding top talent. • Independently lead complex projects and initiatives that impact both the team and the broader organization. • Design and execute strategies that optimize staffing processes while ensuring all specialized functions adhere to regulatory and compliance standards. • Drive effective performance management across all team members to support growth, accountability, and operational excellence. • Monitor regulatory and industry developments to assess potential team impacts and collaborate with Risk and other key stakeholders on emerging changes. • Serve as a primary liaison for clients and Relationship Managers, ensuring strong communication and service delivery. • Represent the firm in industry forums and working groups to stay current on trends and help shape best practices. • Promote and enforce a strong control mindset across the team to ensure adherence to internal policies and risk frameworks. • Coach, develop, and support staff to build a high‑performing, engaged team. • Analyze market data to identify trends and provide insights to senior management. Skills and Experience of the Manager, Operations and Collections: • 6+ years of relevant experience with essential managerial competencies preferably within the financial services industry • Solid understanding of financial services operations • Proficiency in Microsoft Office tools including Excel, Word, Outlook, Teams, and Visio, as well as familiarity with SQL • Experience working with NetSuite • Ability to manage multiple projects and meet deadlines in a dynamic environment • Proven daily communication and interaction skills with clients, operations teams, industry peers, and external partners • Ability to effectively manage staff workload, priorities, and seasonal fluctuations • Forward‑thinking approach with the ability to anticipate departmental needs and identify opportunities to enhance processes and data collection • Exceptional organizational skills and high attention to detail • Solid research and problem‑solving skills with the ability to work independently • Ability to build, motivate, and support teams
