Job Summary The Vice President of Finance, Operations & Technology oversees the organization’s financial management, administrative operations, technology systems, and HR/payroll vendor relationships. This role leads budgeting, financial reporting, technology planning, and supports HR processes to ensure smooth daily operations for staff across the organization. Essential Functions To perform this job successfully, an employee must be able to perform each essential function satisfactorily, with or without reasonable accommodation. To request a reasonable accommodation, notify Human Resources or your manager. · Lead the development, management, and monitoring of the annual organizational budget. · Oversee accounting operations, including accounts payable/receivable, reconciliations, cash flow, and monthly financial statements. · Serve as the primary contact for the annual audit and coordinate all supporting documentation. · Act as the organization's main liaison to the HR provider and payroll company, ensuring accuracy in payroll, compliance documentation, onboarding support, and benefits administration coordination. · Maintain oversight of organizational IT systems, coordinating with external IT partners on hardware, security, software updates, licensing, and system upgrades. · Manage user accounts, permissions, and technology troubleshooting across core platforms, including Microsoft 365 and Salesforce. · Manage external IT firm with maintenance, security, Office 365 functions as well as licenses and users. · Partner with staff and the Database Administrator to ensure data integrity in Salesforce, support user adoption, and guide improvements that enhance organizational efficiency. · Provide clear financial and operational guidance to senior leadership and serve as staff lead to the Finance Committee. · Supervise a 0.2 FTE Database Administrator. · Ensure internal controls, financial compliance, and documentation are consistently maintained. Additional functions In addition to the essential functions listed above, the incumbent may perform the following additional functions. · Prepare post-event financial reports within two business days of each annual event. · Support registration, mailing coordination, and payment processing workflows within Salesforce. · Attend board meetings and present financial updates as needed. · Property Manager liaison for any building concerns as well as after-hours emergency contact. Job Qualifications Minimum Qualifications (Required) · 3+ years in nonprofit or for-profit finance role. · 3+ years working with organizational technology systems or IT vendors. · Accounting or Finance-related degree. · Proficiency in QuickBooks, including budgeting, reporting, and reconciliation. · Experience supporting payroll processing and working with HR or payroll vendors. · Working knowledge of Microsoft Office/365 products. Preferred Qualifications · 5+ years nonprofit experience. · Experience with a CRM platform, preferably Salesforce. · Prior oversight of technology systems, IT security, or vendor relationships. · CPA is a plus but not required Knowledge, Skills & Abilities (KSAs) · Strong written and verbal communication skills. · Ability to interpret financial data and present it clearly to non-finance audiences. · High attention to detail, organization, and follow-through. · Strong judgment around confidentiality, especially regarding HR and financial information. · Comfortable leading process improvements and guiding staff on finance, tech, and administrative workflows. Working Conditions Physical Demands · Constantly operating a computer and other office equipment, requiring fine motor skills for typing and data entry. · Ability to lift up to 20 pounds. · Ability to sit at a desk for long periods.
