Overview We are seeking a motivated and detail-oriented Construction Assistant to join our dynamic team. This role is essential in supporting various construction projects by providing administrative and clerical assistance. The ideal candidate will possess strong organizational skills, be proficient in office management, and have experience in customer service. Responsibilities • Assist with daily administrative tasks to ensure smooth operations within the construction office. • Manage multi-line phone systems, handling incoming calls with professionalism and courtesy. • Provide excellent customer support by addressing inquiries and resolving issues promptly. • Maintain organized filing systems for project documentation, contracts, and correspondence. • Perform data entry tasks accurately to keep project records up to date. • Utilize Microsoft Office and Google Workspace for document creation, scheduling, and communication. • Support calendar management for project timelines and meetings. • Proofread documents for accuracy and clarity before distribution. • Assist in bookkeeping tasks as needed, including invoicing and expense tracking. • Collaborate with team members to ensure efficient workflow on construction sites. Qualifications • Previous office experience or clerical experience is preferred. • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. • Excellent organizational skills with the ability to manage multiple tasks effectively. • Strong typing skills with attention to detail for accurate data entry and documentation. • Experience in customer service or administrative roles is highly desirable. • Familiarity with QuickBooks is a plus but not required. • Ability to maintain professionalism while managing front desk responsibilities. • Effective phone etiquette and communication skills are essential; bilingual candidates are a plus. • Strong time management skills to prioritize tasks efficiently. • Previous experience as a receptionist or is beneficial but not mandatory. • Personal assistant experience will be considered an asset.
