Job Description: Bergmann & Moore, a national law firm exclusively representing veterans and their families, is seeking a highly motivated and compassionate Client Coordinator to join our Appellate Intake team. This role plays a key part in ensuring veterans receive timely, respectful, and accurate communication as they navigate the legal appeals process before the United States Court of Appeals for Veterans Claims. As the first point of contact for prospective clients, the successful candidate will provide essential support in guiding them through the intake process, tracking communications, and helping ensure legal deadlines are met. This position is ideal for someone who is mission-driven, thrives in a fast-paced environment, and excels in client-facing communication. Essential Duties & Responsibilities: • Respond promptly and professionally to inbound phone calls, emails, and faxes from veterans and their families seeking legal representation. • Conduct high-volume follow-up communications with potential clients, particularly those with fast-approaching legal deadlines, to ensure timely responses and action. • Prepare and distribute standard intake and contract documents using secure e-signature platforms. • Accurately log all client interactions and case updates using the firm’s case management system. • Assist in receiving and processing documentation from the Department of Veterans Affairs. • Maintain a courteous and empathetic tone in all client communications, even in challenging conversations. • Collaborate closely with other team members to ensure seamless client handoffs and consistency in service. Note: This position does not involve providing legal advice or supervision of other staff. Required Skills & Competencies: • Strong interpersonal skills with a high level of emotional intelligence and professionalism. • Excellent oral and written communication skills, including the ability to tactfully manage sensitive or difficult conversations. • Outstanding organizational skills and attention to detail. • Ability to prioritize tasks, meet deadlines, and thrive in a high-volume, fast-paced environment. • Effective problem-solving skills, including the ability to gather relevant information and propose timely solutions. • Comfortable with technology and able to learn new systems quickly. Technical Requirements: • Proficiency in Microsoft Office Suite (Word, Outlook, Excel). • Familiarity with VOIP phone systems (e.g., RingCentral). • Experience with or willingness to learn legal CRM or case management platforms (e.g., Clio, Salesforce). • Experience with e-signature tools (e.g., DocuSign or Adobe Sign). Preferred Qualifications Strongly Desired: • Veteran status, military spouse, or prior experience working with military or veteran communities. • Spanish fluency (oral). • Bachelor’s degree (B.A.) from a four-year college or university. Helpful but Not Required: • Paralegal degree or certification. Note: If not currently held, the firm will sponsor certification as part of your onboarding. • Familiarity with the VA claims system.
