Hospitality & Programming Coordinator The Hospitality & Programming Coordinator plays a key role in supporting the backstage experience and artist relations at bergenPAC. This position is responsible for coordinating all aspects of artist hospitality and catering, providing administrative support to the programming department, and ensuring a smooth and professional day-of-show experience for artists, management, and touring personnel. Key responsibilities include: Catering and Hospitality Coordination: • Advance catering and hospitality riders to verify artist needs and dressing room set up. • Plan day of show menu based on budget and Programming/artist management approval. • Secure caterer or order food. Complete catering schedules including times, numbers and delivery location as well as ensuring invoices are sent to the programming department. • Keep inventory of backstock backstage supplies. • Ensure backstage areas are organized and up to department standards which includes but not limited to re-stocking, laundry, dishes etc. • Shop for artist and backstock needs. Work with the Director of Operations for bulk orders when needed. • Collaborate with other departments on various event details i.e. informing operations to set up tables on the 3rd floor for artists and food service. • Assist with scheduling runner/hospitality assistants based on show needs. Communicate hospitality details with runners via email prior to show date. Administrative Support: • Compile spreadsheets and conduct artist research projects to support strategic booking decisions. • Create, organize, and maintain comprehensive show files for all performances. • Facilitate administrative tasks such as updating department spreadsheets, calendars, etc. Day of Show Coordination: • Cover shows as needed to ensure that backstage and hospitality needs are met. • Serve as day of show venue contact as needed which includes but not limited to paying artist management, assisting with meet greets, serving as liaison for artist comp tickets and credentials, etc. • Assist with covering off-site events as needed. Job Type: Part-time Pay: From $20.00 per hour Expected hours: No more than 30 per week Work Location: In person
