Our offerings include concierge medicine, IV therapy, personal training, physical therapy, massage therapy, hyperbaric oxygen therapy, and photobiomodulation (PBM) – all under one roof. About the Role The Concierge Receptionist is the first face our clients see each morning and plays a key role in setting the tone for the day. This position blends hospitality, administrative precision, and operational excellence. The ideal candidate is proactive, organized, and thrives in a fast-paced, high-touch environment where attention to detail and multitasking are essential. Schedule: • Monday 2:00 pm - 6:00 pm (rotating weeks) • Tuesday 2:00 pm - 6:00 pm • Thursday 2:00 pm - 6:00 pm • Saturday: 6:00 am - 2:00 pm (rotating weeks) The company reserves the right to modify the schedule based on the needs of the business. Key Responsibilities Opening Excellence • Prepare the center for the day by finishing laundry, unloading the dishwasher, brewing coffee, prepping infused water, starting music/ambience, and ensuring all spaces are spotless. • Check and respond to voicemails, texts, and emails in the client queue. Client Experience • Greet clients with warmth and professionalism, ensuring every visit feels seamless and personalized. • Offer refreshments and anticipate client needs throughout their visit. • Maintain a polished and organized reception and lounge environment that reflects our five-star standard. Operational Flow • Manage appointment scheduling, calls, and inquiries efficiently. • Support providers and clinical staff with administrative needs. • Coordinate between departments to ensure the day runs smoothly and efficiently. • Prioritize daily tasks strategically, balancing client-facing duties with behind-the-scenes responsibilities. Confidentiality & Professionalism • Uphold strict client privacy and demonstrate sound judgment in all interactions. What We’re Looking For • Bachelor’s degree (any discipline). • Minimum 3 years of experience in hospitality, concierge, luxury service, or healthcare front desk operations. • Strong organizational and multitasking skills with an innate sense of priority-setting. • Tech-savvy with experience using scheduling or EMR systems (Elation and Mindbody a plus). • Polished, professional demeanor and excellent written/verbal communication skills.
