SUMMARY: The Business Office Manager in an assisted living and memory care community oversees the administrative, financial, and operational functions that keep the community running smoothly. The role supports residents, families, staff, and leadership by ensuring accurate records, compliant processes, and efficient business operations. This individual will report to the Executive Director. ESSENTIAL DUTIES AND RESPONSIBILITIES: Financial & Billing Management - Oversees billing procedures, including resident monthly statements, accounts receivable, collections, and bad debt processing. - Processes and records all accounts payable invoices and prepares vendor payments. - Manages company deposits and maintains accurate financial records and reports. - Maintains organized systems for invoices, leases, financial documents, and related records. Payroll & Benefits Administration - Processes payroll, including facilitating timecard corrections, schedules, PTO approvals, and related reporting. - Maintains accurate and confidential employee payroll and personnel files. - Assists in the administration of employee benefits such as health insurance, unemployment, and workers’ compensation. - Oversees compensation processes, including pay surveys, pay budgets, and pay structure updates. Human Resources Management - Serves as a primary contact at an advanced level for all aspects of Human Resources to include recruitment/talent acquisition, employee relations, employee engagement/retention program development, as well as other projects and services at assigned facilities. - Consults, advises, and facilitates on a wide variety of employee issues, including selection, retention, recruitment, restructure, position/department alignment, job descriptions, disciplinary issues, individual and team development, etc. - Maintains current and historical employee records and completes required state employee reporting. - Under direction of the Executive Director, actively participates in investigations on allegations involving harassment, employee concerns, and other complaints as directed. Possesses the ability and knowledge to lead these investigations when necessary. - Leads the development, updates, and implementation of HR policies, procedures, and job descriptions. - Oversees employee orientation, training, and ongoing education. - Ensures compliance with employment laws and regulations (e.g., EEOC, FLSA, ADAAA, FMLA, OSHA Operational & Administrative Oversight - Monitors and updates facility systems, including POS, FOB security, and phone usage. - Ensures accurate documentation, data collection, and adherence to regulatory standards related to resident services, safety, sanitation, and labor laws. - Supports employee safety, wellness, and workplace health initiatives. - Facilitates internal communication with employees and the broader community. Leadership & Professional Development - Trains administrative staff and supports department development. - Maintains professional knowledge through continuing education and industry updates. - Performs additional duties as assigned to support facility operations. This individual will be required to complete ad hoc assignments and responsibilities as needed, assume duties not explicitly outlined in this job description when necessary, and provides support with unplanned or emergent tasks as directed to ensure continuous and effective operation of the facility. Also tolerate potential exposure to blood, body tissues, and fluids with occasional exposure to hazardous materials and infectious diseases. They are required to have Manual dexterity required to operate modern office equipment. PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to stand, talk, bend, stretch, pull, push or lift items. There is a risk of being exposed to bodily fluids and infectious diseases. Specific vision abilities required by this job include close vision, depth perception and the ability to adjust focus. QUALIFICATIONS To perform this role successfully, the individual must be able to carry out all essential duties effectively. EDUCATION AND/OR EXPERIENCE - Two years of experience in HR. - Minimum of two years of supervisory or management experience in healthcare, senior living, or a medical setting. - Experience in personnel management, financial processes, and working with older adults or individuals with disabilities. - General office experience, including proficiency with computer programs and the operation of multi line phones, copiers, and standard office equipment.
