Administrative Virtual Assistant – Mental Health Group Practice (Remote, Texas) Compensation: $18–$20 per hour (based on experience) Employment Type: W-2 (healthcare benefits eligible after 6 months) Schedule: Part-Time to Full-Time | Remote | Texas-based applicants only About Us Begin Life Counseling is a therapist-first group practice in Texas specializing in self-compassion and self-esteem–centered care for anxiety, depression, trauma, and relationship concerns. We’re seeking a detail-oriented Administrative Virtual Assistant to support smooth day-to-day operations in a HIPAA-compliant environment. You will sign aBusiness Associate Agreement (BAA) as part of onboarding. Position Overview You’ll provide administrative, scheduling, billing coordination, and clinician support via our EHR and shared tools. This role requires exceptional organization, clear communication, and strict confidentiality. Responsibilities • Manage scheduling requests, cancellations, and reminders through SimplePractice (clients self-book via the website). • Schedule and conduct initial interviews with new hire candidates. • Respond to client emails/voicemails with professionalism and empathy. • Assist with insurance verification and billing coordination (training provided). • Support clinician onboarding (accounts, checklists, document collection, new hire clinical trainings, CAQH application, etc.) • Maintain accurate documentation and update internal SOPs. • Coordinate with billing and credentialing partners to streamline workflows. • General admin support for the Clinical Director and practice leadership. Qualifications • Prior administrative or virtual assistant experience (healthcare/mental health preferred). • Experience organizing a Google Shared Drive (folder structure, permissions, naming conventions). • Familiarity with EHR systems; SimplePractice experience is a plus. • Strong written and verbal communication skills. • Excellent organization, follow-through, and attention to detail. • Ability to maintain confidentiality and comply with HIPAA (BAA signed at hire). • Reliable computer and high-speed internet; must reside in Texas.
