Duties • Handle all aspects of office management including filing, data entry, calendar management, and organizing documents using Microsoft Office and Google Workspace tools • Assist with invoicing, ensuring accuracy, proper documentation, and timely submission • Support bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial record-keeping • Assist with clerical duties such as proofreading documents, verifying information, and maintaining organized filing systems • Provide excellent customer support by responding promptly to inquiries via phone or email, ensuring positive interactions and effective communication • Perform general office tasks such as photocopying, faxing, inventory management of office supplies, and maintaining a clean, organized workspace Qualifications • Proven experience in an administrative or clerical role with strong office management skills • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and computer literacy in general • Experience with QuickBooks or bookkeeping software is highly desirable • Excellent organizational skills with keen attention to detail and accuracy in proofreading and data entry • Strong communication skills including phone etiquette; bilingual abilities are a plus but not required • Ability to handle multi-line phone systems efficiently while maintaining professionalism under pressure • Demonstrated ability to prioritize tasks effectively with excellent time management skills • Familiarity with office equipment such as printers, scanners, and fax machines; experience in medical or dental reception is a bonus Join us to be part of a vibrant team where your organizational talents will make a real difference!
