We are expanding our operations and seeking a Development Assistant who will play a key coordinating and administrative role supporting multiple internal departments and external partners. Role Overview The Development Assistant will provide essential administrative, financial coordination, and interdepartmental support to the Development, Finance, Legal, and Office Administration teams. This role emphasizes cross-department communication, supporting financial workflows, and liaison duties with lenders, attorneys, government agencies, general construction, sales and marketing—rather than on-site construction tasks. Ideal for candidates with 1–2 years of experience in real estate development, finance coordination, office administration, or project support roles. Key Responsibilities 1. Financial & Administrative Support • Assist the Finance Department with basic budget tracking, invoice logging, payment coordination, and internal financial documentation. • Support preparation of lender packages, draw requests, cost reports, and financial summaries. • Organize documents for audits, compliance checks, and lender or investor reporting. 2. Interdepartmental Coordination • Serve as an administrative bridge across Development, Construction, Finance, Legal, and Office Administration teams. • Help schedule meetings, prepare agendas, record minutes, and follow up on action items. • Maintain organized digital filing systems for development, legal, and financial records. 3. Communication With External Stakeholders • Coordinate communication with banks/lenders, ensuring timely submission of required documents, updates, and compliance items. • Assist with communication and documentation exchange with legal counsel, including contracts, permits, notices, and case-related files. • Support interactions with government agencies (city, county, permitting departments) regarding submissions, status updates, and required forms. • Liaise with builders, consultants, and vendors for administrative matters, document collection, and scheduling. 4. Compliance, Documentation & Reporting • Track status of permits, approvals, government filings, lender submissions, and legal items. • Prepare summaries, status updates, and internal reports for management. • Assist in collecting due-diligence documentation for acquisitions, financing, and entitlement processes. 5. Office & Project Administration • Support day-to-day administrative operations including scanning, filing, scheduling, and organizing project documentation. • Assist with procurement of office or project-related supplies as needed. • Provide bilingual (English/Mandarin) communication support when required. Qualifications • 2-3 years of experience in real estate development, finance coordination, office administration, or project support. • Bachelor’s degree in Business, Finance, Real Estate, Construction Management, Accounting or related fields preferred. • Strong organizational skills and the ability to coordinate multiple tasks simultaneously. • Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with project management tools preferred. • Strong communication skills with the ability to interact professionally with lenders, attorneys, government agencies, and internal teams. • Detail-oriented, proactive, and able to work independently. • Mandarin proficiency is a plus, but not required.
