Position Summary The Deputy Director of Programs & Operations is a senior leadership role responsible for overseeing BHP’s core programs, operations, logistics, volunteers, and day-to-day execution in close partnership with the Executive Director. This position ensures that people, systems, and processes operate efficiently, equitably, and reliably in service of BHP’s mission and strategic goals. The Deputy Director will make independent, day-to-day operational and programmatic decisions, including scheduling, logistics, volunteer deployment, inventory management, school communications, and issue resolution. Strategic decisions affecting organizational direction, budgetary commitments beyond approved parameters, staffing structure, or material changes to programs are made in partnership with—and escalated to—the Executive Director as appropriate. This role directly supervises programmatic and operational staff (titles and structure may evolve) and provides ongoing leadership, coaching, performance feedback, and accountability. This is a fully on-site position requiring regular presence at BHP’s office and warehouse. Core Responsibilities Programs, Partnerships & Impact • Lead planning, coordination, and execution of BHP’s core programs to achieve organizational goals and intended impact. • Enroll, onboard, and support participating schools through clear, timely, and culturally responsive communication. • Apply an equity lens to program decisions, including prioritization of schools served, outreach strategies, and resource allocation. • Monitor program performance and partner engagement to support strong retention, trust, and satisfaction among schools and community partners. • Lead continuous improvement efforts by using data, partner feedback, volunteer insights, and community voice to refine programs and strengthen impact. • Support program evaluation by tracking outcomes, identifying gaps, and recommending adjustments that improve effectiveness and equity. • Represent BHP at community meetings, trainings, and partner engagements as delegated by the Executive Director. Operations, Logistics & Risk Management • Manage daily operations of BHP’s office and warehouse, ensuring safe, organized, and efficient workflows. • Oversee inventory forecasting, ordering, storage, distribution, and rotation to ensure accuracy, reliability, and minimal waste. • Ensure timely and accurate delivery of weekend food bags and related resources in alignment with school schedules and program commitments. • Establish, document, and continuously improve operational systems and standard operating procedures to support quality, scalability, and accountability. • Coordinate packing session schedules and logistics in alignment with delivery timelines, volunteer capacity, and seasonal demand. • Identify operational risks (e.g., supply chain disruptions, safety concerns, capacity constraints) and proactively implement mitigation strategies. • Coordinate with the Executive Director and external partners on HR-related processes (including onboarding, role clarity, performance support), compliance, and workplace policies. Volunteer Leadership & Engagement • Develop and manage a strong volunteer pipeline to support consistent staffing, leadership continuity, and peak-season demand. • Plan and manage volunteer schedules for packing sessions, warehouse operations, and office support. • Orient, train, and supervise volunteers, fostering an inclusive, respectful, and mission-aligned experience. • Track volunteer participation, fill rates, and engagement indicators to inform recruitment, retention, and leadership development strategies. • Foster volunteer satisfaction through clear communication, recognition, training, and feedback opportunities. • Apply equitable and inclusive practices to volunteer recruitment, engagement, and leadership opportunities. • Coordinate corporate and organizational volunteer partnerships in alignment with programmatic and operational needs. Data, Metrics & Organizational Communication • Track, analyze, and report on key operational and program metrics, including delivery timeliness, inventory accuracy, volunteer participation, and program reach. • Provide regular insights and operational updates to the Executive Director to support data-informed decision-making. • Manage routine operational communications with schools, volunteers, partners, and community stakeholders. • Support organizational communications and outreach efforts, including coordination of newsletters, digital updates, and website content as assigned. • Ensure messaging is clear, consistent, and aligned with BHP’s mission and values. • Perform additional duties related to programs, operations, and organizational priorities as assigned by the Executive Director. Measures of Success Success in this role will be evaluated through overarching operational and leadership outcomes, documented and reviewed on a regular basis (e.g., annually), including but not limited to: • Reliable and timely delivery of food and resources to participating schools, ensuring continuity of service for students and families. • Strong inventory stewardship, demonstrated by high accuracy, proactive planning, and minimal disruptions to supply. • Effective waste reduction practices, including forecasting, storage, and rotation strategies that maximize use of donated and purchased food. • Sustainable volunteer engagement, with staffing levels that consistently meet operational needs and support a positive volunteer experience. • Positive partner and school relationships, reflected in satisfaction, trust, and long-term retention. • Clear, timely, and actionable operational reporting that supports informed decision-making and organizational transparency. • Consistent application of an equity lens in operational decisions, resource allocation, and problem-solving. Qualifications Required • Bachelor’s degree and/or 5 -8 years of demonstrated success in program and/or operations management. • Strong alignment with BHP’s mission, values, and commitment to equity. • Highly organized, detail-oriented, and proactive problem-solver with strong follow-through. • Demonstrated ability to set priorities, manage multiple workflows, and lead in a fast-paced environment. • Experience supervising staff and coordinating volunteers. • Excellent interpersonal skills with the ability to build relationships across diverse stakeholder groups. • Strong written and verbal communication skills, with the ability to select appropriate communication methods (email, phone, text). • Solid technology proficiency and comfort learning new systems quickly. • Willingness to adapt to new tools, processes, and organizational needs. • Reliable transportation required for regular travel to schools and partner sites throughout Baltimore City and County. Preferred • Experience with operational data tracking, reporting, or basic analytics. • Familiarity with warehouse, inventory, or logistics operations. • Experience supporting marketing or digital communications efforts. Salary & Benefits Salary Range: $75,000–$90,000 annually, commensurate with experience and qualifications.
