Client Overview Our client, a prominent New York City-based organization, is seeking a seasoned Events Manager to support a high-volume events department. This team oversees more than 200 events annually, including conferences, meetings, workshops, and internal gatherings. They are looking for a professional with strong event strategy, logistics, and vendor coordination experience who can step into a fast-paced environment and add immediate value. Salary/Hourly Rate $38/hr Position Overview The Events Manager will play a key role in planning, coordinating, and executing both onsite and offsite events. This includes managing logistics, working with vendors, supporting event technology, overseeing registration, and ensuring a high-quality experience for participants. The ideal candidate has 5 - 7 years of hands-on event management experience, a strong operational mindset, and the ability to juggle multiple projects with tight deadlines. The schedule is generally from 9:00 AM to 5:00 PM, depending on the event schedule. The ideal candidate must be able to work early mornings, evenings, and occasional weekends as needed. Responsibilities Of The Events Manager • Support host departments with all pre-event, on-site, and post-event logistics. • Coordinate travel, lodging, transportation, catering, facilities needs, and insurance requirements. • Use event management platforms to build event pages, manage communication, and oversee attendee registration. • Negotiate contracts with venues, catering partners, AV vendors, and other third-party providers. • Develop and maintain event timelines, run-of-show documents, budgets, and task lists. • Produce or collaborate on event collateral such as signage, printed materials, and promotional items. • Serve as an on-site point of contact to ensure smooth execution and exceptional participant experience. • Review event calendars and coordinate with staff, security, and facilities regarding upcoming programs. • Monitor event supplies and support the maintenance of event spaces. • Participate in cross-department planning meetings and process-improvement initiatives. • Perform additional duties and special projects as assigned. Required Experience/Skills for the Events Manager: • 5 - 7 years of event management experience in a fast-paced or high-volume environment. • Experience with onsite event production, registration, vendor management, and AV logistics. • Strong communication skills (written and verbal) and excellent attention to detail. • Ability to manage multiple projects simultaneously and meet tight deadlines. • Comfortable working early mornings, evenings, and occasional weekends based on event needs. • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). • Proven ability to support diverse teams and audiences with a customer-service mindset. Preferred Experience/Skills for the Events Manager: • Experience with Cvent or similar event planning software preferred. • Basic understanding of audiovisual equipment and desktop publishing tools is a plus. Education Requirements: • Bachelor's degree is required.
