Position Overview The Receptionist & Accounts Receivable Support role is the first point of contact for employees, guests, and customers. This position delivers exceptional customer service, ensures smooth front-office operations, and provides clerical and transactional support to the Accounting Team with a focus on Accounts Receivable (AR). The ideal candidate is friendly, organized, tech-savvy, detail-focused, and able to multitask in a dynamic manufacturing environment. Key Responsibilities Front Office / Reception • Serve as the primary point of contact for visitors, vendors, and customers; greet all guests professionally and ensure proper sign-in and routing. • Answer, screen, and route incoming phone calls and emails in a timely and courteous manner. • Maintain reception and lobby areas to ensure a professional and welcoming environment. • Receive, sort, and distribute mail, packages, and interoffice documents. • Assist with scheduling meetings, arranging conference rooms, and coordinating internal communications. • Support company events and activities with logistics, communication, and administrative assistance. Accounts Receivable Support • Process customer payments, including checks, ACH transactions, and credit card payments. • Prepare, verify, and distribute customer invoices. • Perform AR data entry in accounting systems with high accuracy and attention to detail. • Assist in resolving discrepancies by communicating with internal teams and customers. • Monitor AR inbox and route or respond to inquiries as appropriate. • Support month-end processes—including reconciliations and reporting—under the direction of the Finance Team. General Administrative Support • Provide administrative support to HR, Finance, Operations, and Leadership as needed. • Maintain organized electronic and physical records in accordance with internal policies. • Assist with onboarding tasks such as badges, parking passes, and orientation preparation. • Support continuous improvement efforts by identifying opportunities to streamline administrative processes. Minimum Preferred Qualifications • High school diploma or equivalent; additional education in Business, Accounting, or related fields is a plus. • 1+ years of experience in administrative, receptionist, or customer service roles. • Basic understanding of Accounts Receivable functions preferred but not required. • Proficiency in Microsoft Office Suite (Excel, Outlook, Word). • Strong communication skills, professionalism, and customer service mindset. • Ability to prioritize, multitask, and work with accuracy in a fast-paced environment.
