Lead strategic projects, manage executive communications and calendars, support Chief of Staff, administer budget, and foster cross-department collaboration. | Bachelor's degree with 3-5 years managing cross-functional projects, preferably in non-profit, plus advanced MS Office and project management skills. | POSITION TITLE: Program Manager, Executive Office SUPERVISOR: Chief of Staff LOCATION: Hybrid, Baltimore, MD, Washington, DC TRAVEL: 10% JOB CLASSIFICATION: Exempt POSITION SUMMARY The National Association for the Advancement of Colored People (NAACP), a 501(c)(3) nonprofit organization for equal rights, seeks a Program Manager, Executive Office, who has the skills, tools, and techniques to plan and achieve program & project objectives, meeting or exceeding stakeholder needs and expectations. The Program Manager, Executive Office, will be primarily responsible for planning and executing strategic projects to ensure various cost, time, and quality goals are met. The Program Manager is responsible for working collaboratively with members of the Executive Office and other departments to proactively support strategic initiatives and the Office of the Chief of Staff. Travel for this position is limited and varies according to work assignments. This role requires a high level of professionalism, tact, and the ability to handle sensitive information promptly. We are seeking someone who has demonstrated success in data analysis, budgeting, relationship management, and effective collaboration in a fast-paced team environment. The optimal candidate is an experienced, engaging, and driven professional with meticulous attention to detail, strong organizational skills, and the ability to be proactive while managing complex projects and programs with demanding timelines. This individual should have strong proficiency in technology, customer service principles, critical thinking, and an initiative-taking work style. RESPONSIBILITIES/DUTIES Under the direction of the Chief of Staff, the Program Manager, Executive Office, will perform the following duties, to include, but not limited to: * Executive Support * Manage complex calendars, meetings, and communication workflows. * Provide high-level operational and administrative support, including email prioritization, task tracking, and follow‑up accountability. * Draft and edit internal and external communications. * Prepare the Chief of Staff for meetings by creating agendas, briefing materials, and tracking action items. * Process invoices, expense reports, reimbursements, and travel arrangements. * Program & Project Management * Lead special projects and develop project plans outlining scope, objectives, and timelines. * Apply project management methodologies to recommend process improvements and operational efficiencies. * Develop and track OKRs with department leaders. * Strengthen feedback loops and cross‑department collaboration. * Support continuous improvement across processes, tools, and operational cadences. * Forecast project resource needs and coordinate work across internal teams. * Budget Administration * Serve as budget administrator for the Executive Office, including development, monitoring, and projections. * Track multi‑year initiatives against expected outcomes and financial performance. * Maintain advanced spreadsheets and databases, design automated processes for data entry, reporting, and analysis. * Create data visualizations, pivot tables, and automation tools (macros/VBA). * Prepare and reconcile expense reports, vendor invoices, purchase orders, and monthly financial documentation. * Business Writing, Presentations & Content Management * Provide senior‑level administrative support, including drafting documents, routing correspondence, and synthesizing information. * Develop meeting materials, outlines, and high‑level presentations. * Design and update visually clear PowerPoint decks with charts, graphs, and other visuals. * Anticipate information needs, manage action items, and deliver accurate, timely responses. * Edit, proofread, and manage content in coordination with cross‑functional teams. * Relationship Management & Customer Service * Build strong partnerships across the organization and maintain a responsive relationship with internal teams. * Provide logistical planning for virtual and in‑person events. * Support special projects and initiatives for the Chief of Staff and senior leadership. * Ensure timely and accurate delivery of organizational programs and internal communications. * Handle confidential information with discretion. * Provide additional support to Executive Office teams as needed. * Perform any other duties as assigned by the Chief of Staff or other designee. QUALIFICATIONS Education/Experience * Bachelor’s degree in management, business, or related degree; * 3-5 years of experience managing cross-functional or cross-team projects; * Proficiency in MS Office Suite, Outlook, and related Project Management Software; * 3-5 years of association or non-profit experience; * Advanced skills in PowerPoint, Adobe Illustrator, and Excel required; * Experience supporting an executive office; * Practical experience with project management methodologies; * Demonstrated experience leading small- and large-scale projects aligned with the company strategy and best practices; * Salesforce experience is preferred; * Excellent written and verbal communication skills.
