Introduction About Klahanie: Klahanie is a diverse, inclusive, and engaged community located within the City of Sammamish, Washington. The HOA encompasses 900 acres with1,967 single family homes, 718 multifamily residences, and 405 apartment units, 3090 in total. The residents are surrounded by natural areas in every direction, including 30-miles of trails, natural wetland and water features, two swimming pools, as well as various courts and sports fields. Originally launched in 1984, Klahanie grew in stages over the following decade with the planned involvement of several established home builders. Within Klahanie, there exists a variety of home designs, sizes, and features that have continued to be very attractive to homeowners of all varieties 40+ years later. Position Summary The Office & Aquatics Operations Manager is a mid-level leadership position responsible for overseeing the day-to-day administrative operations of the Klahanie Homeowners Association including select Information Technology functions while also managing the team responsible for aquatics programming. This role ensures the smooth operation of the HOA office, supervises administrative and aquatics staff and maintains the Association’s digital infrastructure including website management, data oversight, and IT coordination. The ideal candidate is an organized, proactive leader with strong operational, customer service, team leadership and technology skills. Office & Administrative Operations · Oversees daily office operations, ensuring efficiency, organization, and professionalism. · Supervises administrative staff and coordinates responsibilities to ensure high performance. · Designs, implements, and maintains office policies, procedures, and systems in coordination with the Director of Operations. · Manages vendor relationships, service contracts, and office supply procurement. · Ensures secure and organized records management, including digital and physical filing systems. Coordinates with HOA Board Secretary to ensure HOA records are current, accurate and accessible by Board, Staff, and Homeowners. · Assists with onboarding, training, and resource coordination for staff. · Assists with coordination of community events in partnership with staff and volunteer committees. · Leads and coordinates special projects and operational initiatives as assigned. · Schedules and facilitates select monthly HOA committee meetings as assigned. Aquatics & Program Management • Supervises and oversees aquatics staff. Including the Seasonal Pool Manager, Assistant Seasonal Pool Manager, and Swim Lesson Coordinator. This team is responsible for seasonal hiring of lifeguards, training, scheduling, performance evaluations, and payroll. coordination. The Office Manager will leverage this team to ensure compliance with all Washington State Public Health Department regulations and applicable safety standards. • With support of the Director of Operations, will maintain and enforce the Aquatics Emergency Action Plan. • Ensure and verify valid CPR, First Aid, and Lifeguard certifications for all aquatics staff. • Ensure and oversee the smooth operations of swimming lesson programming, registration systems, and aquatics software. • Oversees the scheduling and publishing of swimming programs, pool hours, and special aquatic events. • Supports planning and execution of community events hosted at aquatic facilities and parks. Information Technology, Website Management, and Communications • Oversees and maintains the Klahanie HOA website, ensuring accurate and timely updates. • Manage aquatics pages, community announcements, and resident communications. • Coordinates content updates related to amenities, events, and operations. • Maintains digital records and data management systems to ensure accuracy and security. • Manages resident portal, newsletters, HOA calendar, and meeting minutes. • Oversees I.T. contractor with following duties: • Assists in managing O365 administration and user access. • Supports internal staff with basic IT troubleshooting (hardware/software). • Coordinates with external IT vendors on cybersecurity, infrastructure, and system upgrades. • Conducts periodic information audits and assist in maintaining cybersecurity best practices. • Helps streamline administrative processes through software optimization and digital tools. Qualifications & Experience · Minimum 5 years of progressive office management or operations experience. · Experience supervising multi-disciplinary staff. · Strong understanding of office systems, budgeting basics, and vendor management. · Demonstrated experience with website management and content updates. Strong leadership, problem-solving, and organizational skills. · Exceptional written and verbal communication skills. · Ability to multitask and adapt in a fast-paced community environment. Preferred Qualifications & Experience · Preferred Minimum 3 years of aquatics or pool management experience preferred. · Preferred Certified Pool Operator (CPO) or Aquatic Facility Operator (AFO) certification preferred or obtain within twelve months of hiring. · Current CPR/First Aid certification (or ability to obtain upon hire). Technical Skills · Proficiency in Microsoft Office Suite and Microsoft 365 Admin. · Experience with database and records management systems. · Familiarity with payroll and HR systems. · Website content management systems (CMS). Physical & Work Environment Requirements · Ability to lift up to 50 pounds occasionally. · Frequent standing, walking, and use of office equipment. · Exposure to outdoor environments and pool chemical environments. · Ability to work evenings, weekends, and holidays as required for community and aquatics operations. Compensation • Base Pay: $75,000 - $90,000 • Bonus Target: Up to $2,000 annually The base pay and bonus above are a general compensation range for a successful candidate in this role.
