Manage calendars, coordinate travel, process expense reports, and support senior management in a fast-paced environment. | 7+ years of executive assistant experience supporting senior management, proficient in Microsoft Office, with strong organizational and communication skills. | About the Role iCapital is looking to hire an Executive Assistant to provide administrative support to Managing Directors in the New York and tri-state area offices. This individual will regularly interact and work with senior members of the team including Managing Directors and Managing Partners. Responsibilities • Manage calendars of several senior managers with a high level of detail, coordinating, and prioritizing daily tasks. • Arrange complex and detailed travel plans. • Process expense reports in a timely manner. • Format information for internal and external communications such as memos, emails, presentations, and reports. • Help move along deliverables, facilitate special requests, and contribute and execute last-minute ideas. • Work as part of the larger Facilities and Administration team and support fellow executive assistants as needed. Qualifications • Undergraduate college degree • 7+ years of experience as an Executive Assistant working with senior level management • Able to manage up through tact and anticipation of needs • Possess a strong attention to detail and a high level of confidentiality • Proficient in using Microsoft Office (Word, Outlook, Excel, and PowerPoint) • Excellent interpersonal written and verbal communication skills • Strong experience managing schedules and processes in a fast-paced environment • Experience scheduling global travel, across multiple time zones, and multi-leg trips • Team player and comfortable working with 30+ people, reporting to a senior admin • Comfort operating within a cross-regional dynamic environment Benefits The base salary range for this role is $90,000 to $110k. iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus. This role leads the planning, governance, and delivery of multi team, enterprise-wide initiatives that require coordinated execution across Product, Engineering, Implementation, Operations, Marketing, Compliance, Data & Analytics, Client Management, and other business functions. This role requires a highly proactive, relationship driven operator who is a self-starter and comfortable building strong cross functional relationships at all levels of the organization. Responsibilities • Lead programs that extend beyond Product and Technology, ensuring cross organizational alignment including Operations, Relationship Management, Support, Marketing, Compliance, Legal, and other business units. • Serve as the single threaded program owner for large, complex initiatives (i.e., Multi Currency, EU Parity, UNIFY, Multi Language, Integrated Platform, Entitlements and Services adoption, Tax Portal Rollout). • Sequence work across multiple business units, manage critical path delivery, and proactively remove blockers. • Build comprehensive program plans covering milestones, dependencies, risks, and organizational impacts across all participating departments. • Maintain program level governance such as structured meetings, stakeholder updates, and executive decision cadences. • Ensure every workstream has clear ownership, defined expectations, and measurable outcomes. • Develop RACIs, dependency maps, and risk heatmaps across all teams touching the program. • Identify enterprise level risks early and coordinate cross functional mitigation strategies. • Maintain clarity of roles and communication paths across Product, Engineering, Operations, and business stakeholders. • Build strong relationships across the organization and serve as a trusted point of coordination. • Translate complex, multi team program landscapes into clear, actionable updates for senior leadership. • Ensure alignment between technical requirements, business priorities, client facing needs, and operational readiness. • Oversee program level execution across all participating functions. • Ensure downstream teams are prepared well ahead of launch. • Drive milestones to completion, maintaining urgency, clarity, and accountability across all workstreams. Qualifications • 12+ years leading enterprise‑level programs and large‑scale delivery initiatives across product, technology, operations, and client‑facing functions • Strong product management and technical program management expertise, with a deep understanding of system flows, data integrations, platform architecture, and cross‑system dependencies • Highly proactive, relationship‑oriented leader who influences without authority and builds strong cross‑functional partnerships • Expert in structured execution, program planning, dependency and risk management, governance, and driving predictability across complex initiatives • Strategic thinker who connects products, services, infrastructure, and processes to align organizations around shared goals • Strong executive communicator with the ability to synthesize complexity, anticipate risks, and guide senior leaders toward informed decisions.
