Administer and optimize corporate sales systems to ensure data integrity and support revenue performance. | Requires 5+ years in hotel sales or revenue management systems administration with strong analytical and communication skills. | The Corporate Sales Systems Administrator is responsible for the administration, integrity, optimization, and strategic alignment of all sales systems across the hotel portfolio, including ProfitSword, Delphi, CI/TY, Envision, STS, and related sales technologies. This role serves as the primary liaison between property sales teams, revenue management, operations, and corporate leadership to ensure accurate forecasting, reporting consistency, system adoption, and data integrity across all platforms. The position plays a critical role in supporting portfolio revenue performance by ensuring sales systems are leveraged effectively, forecasting data is accurate, and property teams are following established sales system SOPs and best practices. ESSENTIAL DUTIES/RESPONSIBILITIES Sales Systems Administration & Governance • Serve as the primary administrator for corporate sales systems including ProfitSword, Delphi, CI/TY, Envision, STS, and related integrations. • Manage user administration including onboarding, permissions, access levels, and account maintenance. • Maintain system configuration consistency across all properties and brands. • Develop, manage, and maintain sales system SOPs, workflows, templates, and reporting standards. • Partner with vendors and internal stakeholders regarding system enhancements, troubleshooting, upgrades, and integrations. • Participate in the evaluation, selection, and deployment of future sales technologies and tools. Data Integrity & System Alignment • Conduct monthly and quarterly audits of all sales systems to ensure data accuracy and compliance with company standards. • Validate booking status progression, group blocks, wash factors, catering revenue capture, and account attribution accuracy. • Monitor CRM and ProfitSword integration points to ensure portfolio reporting aligns with live booking activity. • Identify inconsistencies, errors, and gaps in system usage and implement corrective action plans. • Ensure compliance with all company sales system SOPs and data management standards. • Create and distribute exception reporting to support accountability and operational consistency. Forecasting & Revenue Performance Support • Support monthly and quarterly forecast processes through validation of group rooms and catering revenue data. • Analyze booking pace, production trends, conversion activity, lost business, and forecast variance. • Partner with Sales, Revenue Management, and Operations leadership to identify risks and opportunities impacting portfolio performance. • Provide portfolio-level reporting and analysis related to group pace, catering production, productivity, and sales performance metrics. • Assist in validating data used for ownership reporting, budgeting, and strategic planning. Training, Adoption & Sales Enablement • Lead onboarding and ongoing training for Directors of Sales, Sales Managers, and related property leaders on all sales systems and reporting tools. • Develop training materials, job aids, best practice guides, and system playbooks. • Facilitate regular system training sessions, office hours, and refresher courses. • Promote system adoption and ensure properties are maximizing available sales technology resources. • Support sales productivity initiatives and reinforce accountability through system utilization and reporting. Reporting & Analytics • Create and maintain portfolio sales reports, dashboards, and productivity tracking tools. • Assist with development and monitoring of sales goals and performance benchmarks. • Provide ad hoc analysis and reporting support to corporate leadership as requested. • Identify trends and opportunities through reporting analysis to support revenue growth initiatives. Additional Responsibilities • Support corporate lead referral and account-sharing initiatives. • Assist with sales incentive administration and reporting support. • Participate in sales meetings, training calls, and strategic initiatives as assigned. • Support implementation projects for new systems, integrations, or brand initiatives. • Assist with troubleshooting and issue resolution for property sales teams. JOB QUALIFICATIONS Education & Experience • Bachelor's degree in Hospitality, Business, Sales, Revenue Management, or related field preferred. • Minimum 5 years of experience in hotel sales, revenue management, sales systems administration, or related commercial operations. • Experience supporting multi-property hotel portfolios strongly preferred. • Experience with hotel CRM and sales systems required. Key Responsibilities: Performance Measurement & Analytics * Develop, maintain, and distribute performance dashboards and reporting cadence (daily/weekly/monthly/quarterly) covering occupancy, ADR, RevPAR, labor productivity, operational cost metrics, and portfolio trends. * Build and enhance KPI frameworks for Postcard Cabins, ensuring measurement consistency across properties and alignment with Hotel Equities standards. * Conduct competitive benchmarking using internal data, and other industry resources. Financial Planning & Performance Improvement * Support the development of annual operating plans, quarterly forecasts, and long‑range planning models in partnership with Finance, Operations, and Revenue Management. * Analyze profitability drivers and identify opportunities to improve margins, optimize pricing, and enhance operational efficiency. * Perform ROI analyses for capital projects, technology investments, and new initiatives. * Deliver root‑cause analysis on variances to budget, forecast, and year‑over‑year performance. Recommend corrective actions and track follow‑through. Systems, Data Governance & Process Improvement * Serve as a subject-matter resource across technology platforms (PMS, Profitsword, Marriott platforms), financial systems, and supporting tools used within Postcard Cabins and Hotel Equities. * Champion data integrity, validation, and consistency across all data sources. * Ensure secure data handling practices, adherence to privacy requirements, and audit readiness. * Identify system gaps, streamline workflows, and recommend enhancements to improve data accuracy and operational efficiency. Cross‑Functional Collaboration & Communication * Partner with corporate and property-level teams to understand business needs and develop reporting tools that support decision-making. * Present insights and recommendations to senior leadership through monthly/quarterly reviews. * Translate analytical findings into clear, business-friendly narratives and action steps. Key Metrics & Deliverables * Timely release of portfolio performance dashboards on defined cadence. * Monthly and quarterly business review packages with clear insights and recommended actions. * Budget-to-actual and year-over-year analysis with variance explanations. * KPI tracking tools and governance compliance reports that ensure high data quality. * Documented workflows, system configurations, and process improvements.
