Lead workforce planning, analytics, training, and financial management to optimize staffing and labor costs in senior living communities. | 3-5 years workforce management or related experience, proficiency in financial and workforce systems, strong analytical and coaching skills, preferably in senior living or healthcare. | Harmony Senior Services, a certified Great Place To Work and one the country’s fastest growing companies in the luxury senior living industry, is seeking an experienced Workforce Planning & Analytics leader to join the team. This will be a remote position that includes travel as needed. The Workforce Planning & Analytics Director is responsible for analyzing workforce data, optimizing staffing levels, and implementing workforce management strategies that align operational efficiency with quality outcomes. Workforce Analytics • Monitor and analyze workforce productivity metrics including overtime utilization, agency spend, and variance to budget • Identify trends, anomalies, and opportunities for labor cost reduction and workforce optimization • Develop and distribute regular workforce management reports for operational and executive leadership • Collaborate with department managers to build and maintain effective staffing models and scheduling templates. Adjust staffing grids based on census and acuity • Partner with Finance, HR, and Operations leadership to ensure appropriate FTE utilization. Operational Support • Partner with Operations identify knowledge gaps and training needs across communities and regions • Provide hands-on coaching during community visits to reinforce financial and labor best practices and improve labor performance • Assist with onboarding of new Executive Directors and Regional Directors, with emphasis on financial literacy, labor management, and operational reporting Training & Education • Deliver training on workforce management (labor hours and spend management), labor budget management, to Executive Directors and Department Heads. Serve as a subject matter expert and advisor to department directors and managers on labor management best practices • Facilitate workshops and one-on-one coaching sessions focused on FTE analysis, labor management and productivity optimization. • Lead training sessions on productivity tools, systems, and reporting platforms Compliance • Ensure workforce practices align with applicable state regulatory laws, and organizational expectation • Support payroll and timekeeping system integrity by monitoring missed punches Financial Management • Analyze community and regional financial results, with a focus on labor spend, NOI impact, and budget variance, to identify trends and drive corrective action • Partner with Finance leadership to develop, monitor, and adhere to labor budgets across communities and regions • Translate financial performance data into operational recommendations for community and regional leaders • Evaluate and communicate the financial impact of staffing decisions, agency utilization, and scheduling practices on overall community profitability • Monitor key financial metrics and KPIs (e.g., labor cost as a percentage of revenue, overtime %, bonus and agency spend trends) and present findings to senior leadership • Collaborate with Finance and Operations to develop and implement financial action plans for underperforming communities Required Qualifications: • 3–5 years of experience in workforce management, operational finance, workforce analytics, or a related role within senior living or post-acute care • Proficiency in workforce management and financial systems (e.g., Workday, OnShift, Yardi, Power BI and Microsoft Excel) • Strong analytical, data interpretation, and financial acumen skills • Exceptional facilitation, coaching, and presentation skills with the ability to translate complex financial concepts for operational audiences Preferred Qualifications: • Direct experience in a multi-site senior living or post-acute care environment • Familiarity with productivity benchmarking tools and P&L management • Prior experience managing team member schedules in a healthcare environment preferred, with additional knowledge demonstrating understanding of current time and attendance rules • Knowledge demonstrating understanding of the Fair Labor Standards Act Why Should You Apply? • The opportunity to positively impact the lives of residents and their families • Excellent team support, job satisfaction, and opportunity for growth • Culture of empowerment and entrepreneurship • Competitive salary and benefits package Will you answer the call and apply your passion to the Harmony way?
