Provide administrative and operational support to executives and teams. | 5+ years supporting C-level executives with calendar management, travel coordination, and operational efficiency. | We are looking for a creative and reliable Administrative Assistant to work as the right hand to the Principal of a landscape architecture firm based in Bremerton, WA. The ideal candidate should have excellent communication skills and be able to organize their work independently. We are a small firm who work closely with one another to offer exceptional service to our clients. This part-time position will require a set schedule of 10 to 15 hours per week (depending on duties agreed upon) but initial design of the scheduled days of the week and times of day is negotiable. This position will be largely remote, though a local candidate is preferred to assist with site visits, etc. Responsibilities • Prepare proposals, SOQs, and communicate all required correspondence to customers or vendors in a timely manner. • Create and edit documents and spreadsheets using Google Sheets and Google Docs • Prepare monthly reports for billable hours and quarterly/annual hours reports • Monitor and participate in team Google Calendar and Miro • Prepare subcontractor agreements • Reconcile and submit subcontractor expense reports • Assist staff with reports, specifications, and project administration • Prepare client invoices and coordinate staff expenses with bookkeeper • Maintain office files: Contract, Proposal, Client, Employee, Medical & Training Certifications, Workers Compensation, and Vendor files • Provide general support to staff and clients • Curate and maintain a social media presence • Modify and maintain organization’s website/internet presence using Wix and Houzz • Coordinate logistics for community outreach events and project presentations Required Qualifications • High School degree; additional education or qualification as an Administrative Assistant/Office Manager a plus • Creative, resourceful, self-starter with a positive attitude. This job includes lots of independent thinking and problem solving. • Proficiency in Google Suite (specifically Google Sheets, Docs and Calendar). This job includes many spreadsheets, so Sheets/Excel knowledge is a must! • Excellent time management skills and the ability to prioritize work • Attention to detail; care and accuracy in your work • Excellent written and verbal communication skills • Strong organizational skills with the ability to multi-task Preferred Qualifications • An interest in landscape architecture and design • Familiarity with social media, web design, and marketing or a desire to learn • Familiarity with Adobe creative programs • Experience reading CAD-based site plans • Experience in using Vectorworks for landscape architecture projects Compensation • $20/hr starting wage Pay: $20.00 per hour Work Location: Hybrid remote in Bremerton, WA 98337
