Role Summary The Senior Experiential Program Manager is responsible for the strategic planning, execution, and optimization of experiential marketing programs, trade shows, exhibits, and live events. This role serves as a trusted client advisor and operational leader, managing complex programs from concept through execution while maximizing asset utilization, controlling costs, and improving profitability. Key Responsibilities Client & Program Leadership • Support and advise clients on event strategy, program execution, and business objectives. • Manage day-to-day client deliverables while building strong relationships with clients, vendors, labor partners, and internal teams. • Translate client goals into actionable event and exhibit solutions. Asset & Exhibit Management • Maintain oversight of client-owned exhibit properties, inventory, and branded assets. • Develop strategies to maximize asset utilization, reuse, refurbishment, and cross-program deployment. • Identify cost-saving opportunities while improving program ROI. Project & Production Management • Develop and manage budgets, timelines, schedules, and critical paths. • Coordinate creative, fabrication, production, logistics, and field operations teams. • Source and manage vendors, review estimates, and identify opportunities to improve profitability. • Understand exhibit fabrication methods, materials, and build-versus-buy decisions. Event Operations • Manage trade show, convention center, and live event operations, including labor, logistics, shipping, installation and dismantle, exhibitor services, and onsite execution. • Possess working knowledge of major show contractors, convention center services, labor regulations, and union environments. • Support outdoor events, mobile tours, and temporary event infrastructure as required. Labor, Staffing & Financial Management • Plan and optimize labor schedules, staffing models, and onsite resources. • Manage staffing agencies, brand ambassadors, speakers, VIPs, and event personnel. • Drive profitability through asset reuse, logistics optimization, labor efficiency, and strategic sourcing decisions. • Other duties as assigned. Skills & Qualifications • 7+ years of experience in experiential marketing, trade shows, event production, exhibits, or related industries. • Strong knowledge of exhibit structures, asset management, event operations, and production processes. • Experience managing annual event programs ranging from $100K to $5M+. • Proven success managing budgets, vendors, logistics, and multiple concurrent projects. • Strong organizational, communication, and problem-solving skills. Preferred Qualifications • Experience with exhibit houses, agencies, trade show production, mobile tours, outdoor events, or automotive programs. • CTSM, PMP, or related certifications. Role Summary The Lead A/V Integration Project Manager (PM) is responsible for overseeing large-scale complex A/V projects from planning through completion, managing schedules, budgets, and resources, and leading and guiding the project teams. Key Responsibilities • Manage, mentor, and motivate the project team, assign tasks, and ensure effective collaboration towards common goals. • Lead multi-phase projects with accountability for scope, schedule, budget, and quality. • Serve as a trusted advisor to executive-level clients, building long-term relationships and influencing strategic decisions. • Collaborate with sales, engineering, programming, procurement, and installation teams to ensure design intent and technical standards are consistently met in the field. • Drive project financial performance: manage budgets, track margins, forecast revenue, and escalate risks such as cost overruns, claims, or back charges. • Facilitate formal project kickoff meetings and executive-level progress reviews with cross-functional teams and clients. • Ensure comprehensive project closeout, including as-built documentation, final deliverables, warranty handoffs, and lessons-learned reporting. • Monitor and proactively improve client satisfaction, supporting Net Promoter Score (NPS) goals through responsiveness, issue resolution, and professionalism. • Mentor and coach Project Managers and Associate PMs, providing guidance on project execution, client management, and professional development. • Contribute to the development and enforcement of departmental best practices, tools, and processes. • Proactively identify operational improvements and recommend enhancements to strengthen delivery efficiency and profitability. • Resolve high-level project issues and client escalations with diplomacy, professionalism, and solutions-focused communication. • Work in close partnership with the Sales Team to ensure seamless project handoffs, clear communication, and shared accountability for client satisfaction; foster positive collaboration to minimize friction and strengthen cross-team synergy. • Participate in project post-mortems and deliver actionable recommendations for continuous improvement. • Represent the Project Management function in leadership meetings and cross-departmental initiatives. • Other duties as assigned. Skills & Qualifications • 8+ years of project management experience in A/V integration, construction, or related technology industries. • 8 years of experience managing teams. • Leadership qualities. • Working knowledge in A/V systems, including signal flow, enterprise-level control systems (Crestron/AMX/Biamp/Extron), DSPs, large-scale video distribution, audio reinforcement, conferencing platforms, and networking fundamentals. • Strong leadership, communication, and decision-making skills are critical for success in this role. • Proven success managing large-scale, complex projects with budgets exceeding $1M. • Demonstrated experience building and managing executive-level client relationships. • Strong financial acumen: ability to forecast, manage budgets, and drive profitability. • Proficiency with project management tools (Wrike Project Management) and Excel. • Ability to manage AIA projects and associated project documentation (drawings, submittals, change orders, schedules). • Understanding of construction methods and materials, including low-voltage systems and jobsite safety practices. • Experience working with General Contractors on construction and integration projects. • Skilled in documentation practices using M365 or similar platforms; disciplined in maintaining project records and compliance documentation. • Experience mentoring and coaching other Project Managers; proven leadership in elevating team performance. • Exceptional organizational, prioritization, and time management skills. • Superior communication, presentation, and negotiation skills with executive stakeholders. • Valid driver’s license and acceptable motor vehicle record; ability to travel regularly to client sites and project locations. • AVIXA CTS, or equivalent, certification preferred. • Q360 proficiency is highly desirable but not required. • Adaptable, resourceful, and solutions-focused, with a proven ability to lead in high-pressure, high-visibility environments. • Passion for technology, continuous learning, and delivering projects that exceed expectations.
