Manage financial bookkeeping, office operations, union reporting, and crew logistics for a growing trades business. | At least 5 years of office management or full-charge bookkeeping experience, preferably in construction or trades, with advanced QuickBooks and Microsoft Office skills. | Who We Are Looking For: Alumitec is looking for an Office Manager to be the operational "backbone" of our West Humboldt Park office. About Alumitec: Alumitec is the leader in aluminum curtain wall and glass cleaning and maintenance in Chicago, founded in 1997. We are growing our team and client base to expand locally and nationally. We have worked at the Willis Tower, The Diamond Building, Cloud Gate, and other iconic skyscrapers, buildings, and landmarks. Key Responsibilities Financial & Bookkeeping: • Execute full-cycle payroll, including the calculations and timely remittance of union dues and benefits. • Manage Accounts Receivable: Invoice clients promptly and track overdue accounts. • Manage Accounts Payable: Verify and pay vendor bills in a timely fashion. • Perform monthly bank reconciliations and "close the books" to provide accurate P&L statements. Operations & Scheduling: • Maintain the weekly crew schedule, coordinating with the Operations Leader to ensure labor is allocated efficiently. • Act as the primary liaison for clients, providing updates on project start dates, progress, and completion. Office Administration: • Open the office at 7:30 AM and secure it at 4:00 PM. • Direct sales, estimating, or operations to the appropriate person, as needed. Operations Support: • Certificate of Insurance (COI) Management: Tracking and issuing COIs for clients. • Permit Tracking: Ensuring all project-related permits are active and business licenses are renewed. • Safety Documentation and Tracking: Maintaining safety data sheets and any other safety documentation for clients. Prior Experience Expectations: • Years of Experience: At least 5 years in Office Management or Full-Charge Bookkeeping. • Industry Knowledge: Prior experience in Construction, Trades, or Building Services is highly preferred due to the union workforce and progress billing aspects. • Software Proficiency: Advanced knowledge of QuickBooks Online, Microsoft Office suite. • Financial Literacy: Must understand the difference between cash and accrual accounting and understand the standard accounts of profit and loss statements. • Union Experience: Specific experience reporting to union locals (remitting hours/dues) is a preferred specialization.
