About The Role We are seeking a highly skilled Administrative Assistant to provide comprehensive operational and administrative support to senior leadership. This role functions as the central hub for communication, information flow, scheduling, and office operations. You will help manage the rhythm of business, support executive‑level time planning, coordinate events, and oversee a wide variety of administrative processes that keep the organization running efficiently. Key Responsibilities Executive & Operational Support • Provide high-level administrative support including research, document review, and managing information requests. • Serve as the central communication coordinator for the VP and GM, ensuring smooth information flow across the organization. • Provide strategic calendar management, prioritizing meetings, handling conflicts, and planning time effectively. • Manage discretionary budgets for morale, travel, and training; provide ad hoc reporting as needed. • Support the execution and optimization of the Rhythm of Business (ROB) processes. Office Administration & Documentation • Oversee general office operations: supplies, record management systems, and basic bookkeeping tasks. • Review and approve invoices, memos, letters, reports, financial statements, and other administrative documents. • Read, analyze, and route incoming memos and submissions to determine urgency and distribution. Meetings, Events & Travel • Prepare agendas, coordinate logistics, and ensure successful delivery of committee, board, and organizational meetings. • Lead end-to-end morale event planning, ensuring high-quality, well-executed outcomes. • Manage complex travel arrangements and itineraries for leadership. Project & Team Support • Balance multiple projects with varying deadlines while maintaining operational excellence. • Support new employees, vendors, and interns through onboarding and integration activities. • Build and strengthen networks across teams to improve collaboration and drive organizational efficiency. • Participate in culture-building initiatives, team growth, and discipline development. • Serve as a role model, demonstrating professionalism, leadership, and high standards of execution. Essential Skills • Expertise in complex calendar management (multiple leaders, shifting priorities). • Strong understanding of Rhythm of the Business (ROB) and program execution. • AI fluency and comfort using automation tools. • Excellent verbal and written communication skills. • Strong multitasking, customer service, and interpersonal abilities. • Ability to work independently, manage time effectively, and adapt quickly. • Event planning, coordination, and stakeholder engagement experience. • Leadership, mentoring, and professional presence. • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook. Work Environment • Hybrid schedule: onsite 3 days per week, remote 2 days per week. • Monday–Friday, 40 hours/week; no overtime required. • Contract opportunity with extension potential through August 31, 2026. • Fast-paced, collaborative environment that values proactive communication and operational excellence. Job Type & Location This is a Contract position based out of Redmond, WA. Pay And Benefits The pay range for this position is $35.00 - $38.00/hr.
