ACRS seeks a full-time Admin-Gen - Executive Assistant who provides high-level administrative and organizational support to the Chief Executive Officer (CEO) and both Deputy Directors (Programs and Administration). This position plays a critical role in ensuring smooth operations across executive leadership by managing complex scheduling and calendar coordination, preparing daily briefing materials, and maintaining logistical consistency across executive communications. The EA organizes and hosts key agency meetings—including Managers & Supervisors (MS), All Staff (AS), Leadership Team (LT), and Executive Team (ET)—ensuring agendas, materials, and follow-up are executed with accuracy and professionalism. Reporting to the Deputy Director of Administration, this role requires exceptional judgment, discretion, and the ability to balance multiple priorities in a fast-paced environment. The Executive Assistant serves as a central hub for executive coordination, helping leadership stay aligned, informed, and effective in advancing the agency’s mission. • Schedule: Mon-Fri, occasional evenings and weekends Competitive Beneftis Package Includes • Pay range is between $75,000 to $84,100 annually. Can increase based on experience. • ACRS pays 100% for employee only HMO/Virtual Plus medical benefits. Essential Job Functions • Scheduling and Calendar Management: Manages and coordinates complex calendars for the CEO and both Deputy Directors, ensuring alignment of priorities and minimizing conflicts. Proactively anticipates scheduling needs, including travel, internal deadlines, and external commitments. Serves as primary point of contact for scheduling requests, prioritizing and resolving conflicts as needed. • Meeting Coordination and Facilitation: Organizes and hosts key agency meetings including Managers & Supervisors (MS), All Staff (AS), Leadership Team (LT), and Executive Team (ET). Develops agendas in collaboration with leadership, distribute materials, and ensure accurate follow-up on action items. Provides logistical support for internal and external meetings, including technology setup, catering, and communications. • Executive Briefing and Communications Support: Prepares daily briefing materials for the CEO and both Deputy Directors, summarizing schedules, priorities, and critical updates. Drafts, edits, and formats documents, presentations, and communications to support executive activities. Ensures consistent style, tone, and accuracy in executive correspondence and planning materials. • Administrative Operations and Executive Support: Maintains systems that support executive workflows, tracking priorities and follow-up items, including mail, financial requests/needs and other forms of correspondence. Supports special projects and cross-departmental initiatives as assigned. Upholds confidentiality and use sound judgment in handling sensitive information. Position Qualifications • Education and Experience: • Three (3) or more years of administrative support experience required, with at least two (2) years supporting senior executives or comparable leadership preferred. • Highschool diploma or GED equivalent required. • Knowledge and Skills: • Must be detail-oriented, accurate, have strong organizational, communication, and writing skills, and able to manage multiple tasks simultaneously while working collaboratively in a fast-paced environment. • Ability to communicate effectively with professionals of diverse ethnic and professional backgrounds. • Experience working in a culturally and linguistically diverse environment highly desirable. • Ability to work flexible schedule including evenings. • Interest in social services, public policy and community organizing preferred. • Ability to exercise discretion, maintain confidentiality, and demonstrate sound judgment. • Technical Skills: • Effective ability to navigate a computer. Advanced proficiency in Microsoft Office, Word, Excel, PowerPoint and other relevant software apps such as data-entry, outlook email, teams, zoom and other web-based applications. • Additional Requirements: • Must have reliable transportation. If using a personal or agency vehicle to fulfill job duties, must have a valid driver’s license and be insurable under ACRS’s auto policy. If using personal vehicle, must have current auto insurance. • Follows all agency policies and procedures as outlined in the Employee Handbook. WORKING CONDITIONS: The position requires regular mobility within the office or workspace, may involve sitting for extended periods throughout the day and the ability to handle objects, tools, or controls. Occasional lifting or moving of up to 10 pounds may be required. Involves tasks where visual acuity is beneficial. This position is hybrid, with work divided between remote and on-site locations. Approximately 60% of the work will be performed on-site or in person, while the remaining 40% will be conducted remotely (telecommuting). These hybrid work expectations are subject to change at the agency’s discretion. The noise level in the on-site work environment is moderate.
