Role Overview We are seeking a highly organized, proactive Executive Operations Assistant to support our Executive Team. This role focuses on calendar management, meeting coordination, executive intake management, and cross-functional follow-through—ensuring leadership time is protected and priorities move forward smoothly. This is a remote, part-time role ideal for someone who excels at coordination, communication, and keeping details from falling through the cracks. Key Responsibilities The Executive Operations Assistant will be responsible for: Managing scheduling and calendars for the Executive Team, including coordinating internal and external meetings across time zones, flagging conflicts, and protecting prep time. Coordinating meeting logistics such as ordering lunches, booking rooms, and creating guest passes. Preparing meetings (both virtual and in-person) by confirming agendas, collecting and distributing pre-reads, and setting up agendas and tasks in ClickUp. Capture meeting decisions and action items, track follow-through, and follow up with owners on deadlines. Assist with coordination between Marketing and Commercial teams, track deliverables and deadlines, and proactively flag gaps, risks, or missed follow-ups. Qualifications Available 9am-5pm EST Adaptable and excited to learn Strong calendar management and prioritization skills Excellent written and verbal communication Comfortable working with tools such as Google Calendar, Zoom, and ClickUp Highly organized, detail-oriented, and proactive Ability to handle sensitive information with discretion Team player Bonus: Experience supporting executives in a scheduling, operations, marketing, or administrative role Time Commitment: Part-time (approx. 15–25 hours/week) with room to grow for the right candidate Hourly Rate: $25-$30 Why Ascertain?
