Ascension Global Staffing & Executive Search is seeking a highly organized, detail-oriented Office Manager to oversee day-to-day operations and create a productive, professional, and supportive environment for attorneys and staff for our client's well-established law firm in Coral Gables office. This on-site role is ideal for a proactive leader who thrives in a fast-paced legal setting, excels at managing people and processes, and is committed to driving efficiency and employee satisfaction. Key Responsibilities Office Operations • Oversee daily office functions to ensure a smooth, efficient, and professional work environment. • Manage office supplies, equipment, vendor relationships, and facility maintenance. • Serve as the point of contact for IT support, building management, and external service providers. Human Resources & Employee Relations • Manage onboarding and offboarding processes, including preparing documentation, coordinating training, and ensuring compliance. • Maintain personnel files, track attendance, and oversee PTO and leave requests. • Support employee engagement initiatives and contribute ideas to improve retention and workplace culture. • Assist leadership with performance review coordination and policy implementation. • Handle sensitive matters with discretion, professionalism, and confidentiality. Financial & Operational Support • Assist with billing coordination, time entry reminders, expense tracking, and vendor invoicing. • Support budgeting and cost-control efforts by monitoring office expenses and negotiating vendor contracts. • Collaborate with leadership to refine internal processes and improve operational efficiencies. Qualifications • Minimum 5 years of experience in office management, preferably in a legal or professional services environment. • Strong understanding of HR procedures and best practices. • Excellent communication, interpersonal, and leadership skills. • High level of professionalism, integrity, and judgment. • Exceptional organizational skills and the ability to balance multiple priorities. • Proficiency in Microsoft Office Suite; experience with legal practice management software is a plus.
