Overview As an Operations Assistant, you will be the organized, energetic backbone of our team—helping ensure that both practices run efficiently and seamlessly. What You’ll Do • Provide comprehensive administrative support to management and clinical teams across both Art of Dermatology and Mosaic Luxury Medical Spa. • Manage schedules and calendars with precision, prioritizing appointments, meetings, and commitments to ensure smooth daily flow. • Coordinate events, meetings, and team activities, handling all logistics—venue, materials, catering, and communication. • Maintain accurate records and perform bookkeeping duties, including invoice processing, expense tracking, and QuickBooks entries. • Support office operations by managing supplies, organizing documents, and keeping both clinic and administrative spaces orderly and efficient. • Demonstrate exceptional customer service and phone etiquette when handling multi-line phone systems, greeting clients, or managing inquiries. • Assist with project coordination, including tracking timelines, deliverables, and inter-departmental communications. • Review, proofread, and transcribe documents to ensure all communications and reports are polished and professional. • Collaborate with management to enhance operational workflows and contribute to a positive, organized work environment. Qualifications • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. • Experience managing calendars and communications through Microsoft Outlook or similar tools. • Familiarity with QuickBooks for bookkeeping and DocuSign for electronic document management. • Previous experience in healthcare administration, clerical support, or personal assistant roles is a plus. • Proven experience in administrative support or operations coordination, ideally within a professional office, medical, or spa environment. • Strong organizational and multitasking skills, with excellent attention to detail. • Ability to handle sensitive information with discretion and professionalism.
