Our network of multiphase, multitherapeutic research, standard of care, and VEN Centers sites is staffed by skilled providers, research, clinic, pharmacy, and patient outreach professionals. ALH operates state-of-the-art facilities and programs to meet the evolving needs of clinical research and overall patient treatment. Title: Commercial Operations Administrator Status: Full-time, Exempt Location: Mesa, AZ (Onsite, Monday-Friday, 8am-5pm) Salary: $60,000 - $80,000 annually, depending on experience Job Summary: The Coordinator, Business Development provides essential administrative, operational, and project management support to the Business Development team, Study startup and SVP of Commercial Operations. This role ensures efficient coordination of business development activities, including sponsor outreach, pipeline tracking, feasibility preparation, marketing coordination, and conference logistics. This position is ideal for an individual seeking to grow into a Business Development role; it provides hands-on exposure to sponsor engagement, clinical trial feasibility, CRM management, and commercial operations within a clinical research organization. Administrative & Project Coordination Support Manage scheduling, calendar coordination, and meeting logistics for the Sr. VP Commercial Operations / Business Development and Business Development function (i.e. Conferences, sponsor / CRO visits, etc.) Organize electronic documentation, maintain file systems, and ensure version control of all BD materials. Assist in preparing reports, slide decks, capability presentations, and conference summaries. Coordinate conference pre and post meeting plans, schedules and post meeting notes, track action items, and follow up with internal teams to ensure timely completion. Sponsor & CRO Support Activities Support outreach efforts by drafting introductory emails, coordinating follow-ups, and managing sponsor contact lists. Help prepare and organize capability decks, feasibility questionnaires support checklists, cheat sheets, and pre-study materials (i.e. therapeutic area population estimates, database estimates, recruitment efforts). Schedule BD maintenance / check in pipeline calls, non-trial startup site visits, and capabilities presentations; coordinate logistics across multiple sites. Pipeline, CRM, and Data Tracking Maintain accurate and timely data within Monday.com and other tracking tools. Update pipeline status, add new opportunities, log sponsor interactions, and reconcile data with leadership weekly. Run routine CRM reports for BD leadership, including lead status, feasibility submissions, and follow-up needs. Run research database reports with Global Data subscriptions, maintain landscape news. Feasibility & Trial Readiness Assistance Assist in collecting required documents for feasibility responses (capabilities information, database numbers, screening/randomized target numbers). Track feasibility deadlines and coordinate reminders with study startup, business development team and PI’s/ operations. Marketing & Conference Support Coordinate with marketing on collateral updates, sponsor sheets, capability decks, and conference assets. Support planning, preparation, and logistics for conferences, including registrations, travel arrangements, and pre/post-conference communications. Assist in maintaining the BD calendar, conference schedules, follow-up plans, and sponsor outreach campaigns. Professional Growth & Development Participate in shadowing BD calls and meetings for training and exposure to BD processes. Complete training on clinical trial fundamentals, sponsor engagement, and CRM systems. Take on progressively increased responsibilities based on performance and skill development. Knowledge/skills/abilities requirements Strong administrative, organizational, and project coordination skills. Excellent written and verbal communication abilities. High attention to detail with strong follow-through. Basic understanding of clinical research or willingness to learn quickly. Ability to manage multiple tasks and priorities in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with CRM tools (preferred) and strong aptitude for learning new software. Positive attitude, professional demeanor, and interest in growing into a Business Development career path. Education, credential, or training required Associate or Bachelor’s degree in business, healthcare, life sciences, communications, or related field preferred. 4+ years of experience in administrative roles, project coordination, marketing support, or clinical research support. Experience in clinical research, medical office administration, or BD support roles is a plus but not required.
