Position Summary: We are seeking a highly organized and personable Receptionist & Office Administrator to serve as the face of our Saddle Brook office and provide comprehensive administrative support to our NA President/Global CFO. This role combines front desk excellence with proactive office management, requiring exceptional multitasking abilities and a commitment to creating a welcoming, efficient workplace environment. This person will also manage calendar scheduling and management, expense reports, travel plans, as well as the day-to-day office support functions such as office supply levels, mail, packages, IT equipment, sample room closet, and greeting visitors. Essential Functions: • Serve as the first point of contact for all visitors, delivering exceptional customer service and maintaining a professional, welcoming reception area. • Process incoming and outgoing mail, packages, and courier deliveries with accuracy and efficiency including following UPS and US Postal Service guidelines. • Provide high-level administrative support to the President/CFO, including calendar management, meeting coordination, expense reporting, and travel arrangements • Coordinate executive team meetings, including scheduling, room reservations, agenda preparation, and minute-taking as needed. • Handle confidential information with discretion and professionalism. • Lead all office clerical duties including answering phone calls and emails, and manage daily correspondence (e-mail, letters, packages, etc.). • Monitor and maintain adequate stock levels of office and kitchen supplies and place orders to ensure . • Lead the planning and execution of office events, managing all aspects from concept through completion including venue, catering, transportation, and materials • Lead and project manage office events including planning design and production while managing all project delivering elements within time limits. Organize facilities and manage all event details such as décor, catering, transportation (if applicable) and equipment/promotional materials as required. • Partner with the Sales team to organize and maintain the Sample Room. • Serve as primary contact with company’s IT department to obtain information on administrative/ telecommunication issues and handling paperwork for purchasing office supply equipment (i.e., computer, printers, etc.). • Act as liaison between the Company’s IT department and Saddle Brook employees to resolve issues with office printers and video conferencing equipment. • Support new employee onboarding process, including workspace preparation and first-day coordination. • Support the NA President / Global CFO on any ad hoc projects. • Provide administrative support to cross-functional teams as needed. Professional Qualifications: • Prior experience in office management, administration, or executive support. • Knowledge of office operations, facilities coordination, or vendor management. • Basic understanding of budgeting, purchasing, and expense control. • Ability to handle confidential information with discretion. • Experience supporting HR or IT functions. Education/Experience: • Minimum of high school diploma or equivalent.
