At least 12 months of verifiable EA experience supporting senior leaders, advanced proficiency with Microsoft 365 tools, and strong communication and judgment skills.
The Executive Assistant (EA) provides high level administrative and operational support to two General Managers within WWIC. This role requires exceptional professionalism, sound judgment, and the ability to thrive in a fast paced, highly dynamic environment. The EA will manage complex executive calendars, coordinate domestic and international travel, and drive Rhythm of Business (ROB) planning and execution. Success in this role requires demonstrated Executive level calendaring expertise—including navigating scheduling dependencies, negotiation steps, and landing meetings efficiently—as well as prior EA experience (minimum 12 months with verifiable credentials). Responsibilities Complex Calendar & Meeting Management • Own heavy, proactive calendaring across time zones with constant reprioritization and alignment to executive priorities. • Partner closely with internal and external EAs to coordinate meetings, resolve conflicts, and ensure agendas and attendees are fully aligned. • Serve as a key point of contact between the GMs and stakeholders at all levels across the organization. Travel & Logistics • Plan and manage detailed domestic and international travel itineraries, including last minute changes and contingency planning. • Coordinate executive participation in summits, offsites, customer engagements, and leadership events. • Process expense reports and ensure accurate, timely reconciliation. Rhythm of Business (ROB) & Operations • Support ROB activities and planning cycles across WWIC and associated organizations. • Build and manage ROB cadence in partnership with Business Management. • Execute meeting cadences, prepare agendas, track follow ups, and ensure operational alignment across quarterly and annual planning cycles. Operational & Project Coordination • Manage day to day team operations, including space management, onboarding, procurement, and distribution list ownership. • Lead and support special projects and initiatives across the GM organizations. • Track commitments, follow ups, and communication flows to ensure organizational clarity and alignment. Required Qualifications • Prior Executive Assistant experience supporting Director/GM/CVP level leaders at , with 12 months of verifiable EA experience and consistent availability to support senior leaders. • Advanced proficiency with 365: Outlook, Teams, Excel, PowerPoint, and OneNote. • Demonstrated success managing complex, high volume executive calendars, travel logistics, and senior level stakeholder interactions. • Exceptional communication skills, executive presence, and the ability to exercise mature judgment and maintain confidentiality. • Familiarity with internal tools, ROB frameworks, and operational planning rhythms.ribute, grow their careers, and thrive.
