Job Summary Aptive Resources is seeking a Project Manager with 10 years experience, PMP certification or similar experience. Must be familiar with standard operations in VA. Must have more than six years of experience supporting a large health care system. Primary Responsibilities As the Project Manager, responsibilities include: Program & Project Management Oversight Lead planning, initiation, execution, management, and closeout of all program activities. Ensure all pilot program milestones, deliverables, and performance metrics are met. Manage integrated schedules, risk frameworks, and project reporting aligned with VA priorities. Healthcare Program Administration Oversee onboarding, orientation, and training for new pilot sites (dental schools/community partners). Provide day-to-day operational support for participating sites and act as first line of response to questions/issues from stakeholders. Develop and maintain an onboarding “toolbox” for new site participation. Strategic Planning & Alignment Maintain and update the VETSmile Strategic Plan and Milestone Schedule. Identify and resolve potential barriers to achieving pilot objectives. Support VA in preparing recommendation reports and briefings for Congress. Policy & Data Integration Monitor and analyze policy changes (federal and state) relevant to Veteran dental services. Incorporate policy considerations and performance data into program strategy and recommendations. Use VA-provided data (e.g., VETSmile Performance Dashboard) to inform program decisions. Stakeholder Engagement & Communications Develop communications and briefing materials for diverse audiences, including VA leadership, Congress, and community partners. Maintain and manage the VETSmile stakeholder registry. Tailor engagement strategies to maximize participation across stakeholders. Deliverables & Reporting Ensure timely delivery of contract-required reports: Kickoff meeting agenda & minutes Weekly status reports with minutes Monthly status reports (MSR) Communications deliverables for VA leadership and Congress Ensure reports capture progress, issues, risks, and recommendations. Team Leadership & Coordination Oversee contract staff and subcontractors, ensuring quality and timely completion of tasks. Ensure staff are trained, qualified, and capable of working independently with demonstrated expertise. Adjust staffing strategies as needed to align with contract requirements. Compliance & Quality Assurance Ensure contract tasks are performed in line with VA’s Quality Assurance Surveillance Plan (QASP) (95% timeliness, accuracy, and professionalism standards). Maintain compliance with VA security, privacy, and information handling requirements. Provide replacements for Key Personnel only if unavoidable, with equally or more qualified staff. Minimum Qualifications Masters degree in a related field 10 Years of experience in Healthcare areas relevant to PWS Experience planning, initiating, managing, executing, and closing out programs in support of an integrated healthcare system Experience with the Veterans Health Admiistration is prefered. PMP Ability to obtain and maintain a public trust clearance Legal authorization to work in the US Desired Qualifications PMP certification Experience in managing complex projects for a federal agency; VHA preferred Ability to get up to speed quickly on complex issues Desire to work in a fast-paced, rapidly evolving environment Excellent ability to communicate (written and verbally) across most mediums and settings Experience preparing and managing integrated project initiatives, performing major decision making, solution development, analysis and evaluation, and risk mitigation Ability to manage, lead and motivate a small to mid-sized team of professional staff Outstanding written, verbal, and presentation communications skills Experience with business process and system improvement projects and efforts, including building organizational alignment around new systems and tools Excellent project management skills and attention to detail; ability to work collaboratively in teams managing multiple projects with complex deliverables in a fast-paced environment.
