We are seeking a proactive and highly organized Administrative Assistant (Level 2) to provide mid-level administrative and operational support. This role requires strong multitasking abilities, excellent communication skills, and the confidence to work independently while supporting leadership and cross-functional teams. A Level 2 Admin is expected to handle more complex tasks than an entry-level assistant, including project coordination, document management, and process improvement. Key Responsibilities Provide mid-level administrative support to managers and internal teams Coordinate schedules, meetings, and calendars, including virtual and in-person logistics Prepare, edit, and maintain professional documents, reports, and presentations Manage incoming communications (email, phone, mail) and route information appropriately Assist with project tracking, task follow-ups, and deadline monitoring Maintain organized digital and physical filing systems Support onboarding tasks for new employees (forms, access setup, scheduling) Handle purchasing, vendor coordination, and basic procurement tasks Compile data and prepare summaries or status updates for leadership Assist with office operations, supply management, and workflow improvements Maintain confidentiality and handle sensitive information with discretion Required Qualifications 2–4 years of experience in an administrative support or office coordination role Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Excellent written and verbal communication skills Strong organizational skills with the ability to prioritize multiple tasks Experience coordinating schedules, meetings, and administrative workflows Ability to work independently and anticipate needs High level of professionalism and attention to detail Preferred Qualifications Experience supporting managers or cross-functional teams Familiarity with project management tools (Asana, Trello, Monday.com, etc.) Experience with data entry, reporting, or light bookkeeping Knowledge of HR onboarding processes Associate degree in Business Administration or related field Ideal Candidate Traits Reliable, resourceful, and proactive Comfortable handling mid-level administrative complexity Strong problem-solver with a positive, professional demeanor Able to maintain confidentiality and manage sensitive information Please submit your resume!
