We’re seeking a detail-oriented Administrative Assistant to support daily operations, contract administration, proposal preparation, and light accounting for a project-driven team. This is an on-site role in Woodinville, WA, and is open to Washington State residents only. This position is ideal for someone who enjoys variety, takes initiative, and has experience supporting construction, service-based, or technical environments. Key Responsibilities Administrative & Project Coordination Review and manage contracts, vendor setups, and project documentation Prepare and support RFP/RFQ responses and proposal packages Coordinate meetings, prepare materials, and maintain organized project files Maintain rosters and assist with general office operations (phones, filing, reports) Marketing & Communications Prepare marketing materials, resumes, and project experience summaries Assist with website updates and basic content management Support outreach presentations and internal/external communications Help manage social media content as needed Accounting & Operational Support Assist with invoicing, project budgeting, and light payroll support Maintain accurate financial tracking documents Support new project onboarding and vendor setup Required Qualifications 2+ years of administrative or office management experience Experience in a service-based, construction, or project-driven environment Strong skills in contract review, document preparation, and workflow coordination Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Excellent writing, proofreading, and communication skills Strong organizational skills and the ability to manage multiple priorities Professional, reliable, and self-directed Must reside in Washington State Preferred Experience Experience preparing RFPs, RFQs, proposals, or project documentation Background in invoicing, payroll support, or light accounting Experience with website updates or marketing content Stable work history (no more than two roles in the last four years) What Makes Someone Successful Here You’re motivated, committed, and proactive You enjoy supporting technical or project-based teams You thrive in structured environments with clear processes You communicate clearly and professionally You stay organized even when juggling multiple deadlines If this role aligns with your experience and you’re a Washington State resident, we encourage you to apply and take the next step in your career!
